Administrative Assistant (Part-Time Hybrid)

Location: Miami Beach, FL Schedule: Part-Time, 25-30 hours/week with potential to grow into a full-time role Work Arrangement: Hybrid (primarily remote with occasional onsite meetings and support) Compensation: $28-30/hour Employment Type: Temp-to-Hire Start Date: ASAP

Responsibilities

• Organize, maintain, and manage legal, corporate, and business documentation within electronic filing systems and Dropbox.
• Support project administration, including tracking permitting processes, following up on applications, and helping keep projects moving forward.
• Coordinate meeting preparation, onsite logistics, and administrative support for executive meetings.
• Track consultant invoices and maintain reporting records.
• Assist with administrative support related to multiple business entities, investments, and acquisitions.
• Provide occasional personal assistant support, including coordinating appointments, errands, gift purchasing/shipping, vendor follow-up, and other operational requests.
• Conduct research and utilize technology tools, including AI platforms, to improve organization and efficiency.
• Maintain strict confidentiality regarding executive, investment, legal, and business matters.

Qualifications

• 3-5+ years of administrative support experience, preferably supporting C-suite executives.
• Strong proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
• Excellent organizational, communication, and project coordination skills.
• Ability to work independently with minimal supervision.
• Experience handling confidential and sensitive information.
• Strong attention to detail and follow-through.
• Technology-savvy with the ability to quickly learn new systems and tools.

Pay Details: $28.00 to $30.00 per hour
