Administrative Support Specialist. Job in Greenville LilyLifestyle Jobs

Administrative Support Specialist This temporary staff position reports to the Director of Student Transitions and coordinates a variety of business, fiscal, and administrative functions within Student Transitions. The role requires strong knowledge of university budgetary practices, independent decision‑making, and critical thinking skills, and involves supervising student office staff and supporting campus-wide events. Job Duties Financial Management & Records Administration (40%): Oversees the orientation reservation process and record keeping, including session add‑ons, administers refunds based on policy, and processes walk‑in registrations. Manages accurate attendance records, follows up, and compiles final reporting data of student attendees and guests. Handles requests for reimbursement, payment for services, and purchase orders for programs and projects. Purchases program supplies, office supplies, and merchandise items for events and programs. Planning & Organizing Work (25%): Prepares orientation materials for sessions, including check‑in lists, distributes lists to campus partners, manages dining numbers, and prepares check‑in materials. Arranges travel and lodging for conferences and retreats. Student & Staff Support / Supervision (25%): Answers phone calls and emails while providing a high level of customer service. Supervises student office staff, coordinating coverage of the office and events. Participation in University Life & Student Transitions (10%): Supports events of the Office of Student Transitions including New Student Orientation, New Student Welcome and First‑Year Photo, Commencement, Pirates Aboard, etc. May require after‑hours or weekend work. Minimum Qualifications High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. Preferred Qualifications Experience in a university or higher education setting.
