Project Assistant, AI Enablement

EHDD is looking for someone who gets architects and gets AI.

EHDD is an 80-year-old, design-forward practice with deep sustainability roots and a real appetite to lead, not follow, on how AI reshapes architectural practice. We're looking for someone to help us get there.

You'll be embedded within project teams, connecting coding and AI tools to real workflows and identify opportunities for efficiency and key workflows to target for automation.

What You'd Do

• Partner directly with the team on our AI strategy and adoption roadmap
• Be the go-to person connecting coding/AI tools to real workflows across our MS 365 stack, including Copilot and Power Automate
• Pilot, test, and roll out AI tools across project management, design, documentation, visualization, accounting, marketing, and project delivery. Teach the firm how to actually use them.
• Drive adoption through training, documentation, and ongoing support to ensure new tools become part of everyday practice
• Track and communicate the impact of new tools and workflows through metrics such as time savings, user adoption, project efficiency, and information quality
• Capture and share successful workflows, templates, prompts, and lessons learned to build the firm's collective knowledge base
• Project administration tasks such as:
  • Assisting with project startup and closeout
  • Preparing milestone documents with the design team and consultants
  • Maintaining design team directories in MS Teams and TonicDM
  • Managing design team access to MS Teams, Bluebeam, and other platforms
  • Reinforcing file naming, metadata, and organization standards across platforms

What You Bring

• Attention to detail and strong ownership of problems and situations, from start to finish
• Genuine tech curiosity and self-starter energy - you go find the answer before someone asks you to
• Comfort, ideally fluency, in MS 365 and Claude; Revit knowledge is a plus, along with general ease across creative/visualization and collaboration tools
• Strong communication - you can explain a workflow fix to a team, and a technical constraint to IT, in the same afternoon
• Architecture, engineering, or construction (AEC) practice experience is strongly preferred. You're embedded on project teams day to day, so firsthand knowledge of how projects actually run matters, even as strong tech instincts are the priority
• Working knowledge of project management, design, documentation, and project delivery workflows and deliverables
• Strong technology judgment and systems thinking - you understand not just how to use tools, but when and why a particular platform, database, automation, or AI solution is the right fit
• Ability to balance innovation with practicality, focusing on solutions that teams will actually adopt and maintain
