AP Clerk / Accountant (Temp-to-Perm)

Job Summary

We are seeking a dependable and detail-oriented Accounts Payable Clerk / Accountant to join our team. The role will be about 60% AP tasks and 40% general accounting tasks.  This position is responsible for processing accounts payable transactions, maintaining accurate financial records, assisting with general accounting duties, and supporting the month-end close process. The ideal candidate is organized, accurate, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Accounts Payable

·         Review, process, and verify all vendor invoices and expense reports for accuracy.

·         Schedule and prepare payments (checks, ACH, credit card, etc.) to ensure all bills are paid on time.

·         Monitor due dates to take advantage of available vendor discounts

• Reconcile vendor statements and resolve billing discrepancies promptly
• Maintain organized and up-to-date accounts payable files and records
• Complete and maintain vendor records, including tax exemption forms and payment information
• Respond to vendor inquiries in a professional and timely manner
• Ensure invoices are coded correctly and the payments are applied correctly in accounting systems
• Maintain and post credit card receipts to the accounting system

Accounting

• Assist with daily accounting transactions and journal entries
• Reconcile general ledger accounts
• Maintain accurate financial records and supporting documentation
• Assist with month-end, quarter-end and year-end closing activities
• Prepare reports and schedules for management
• Assist with sales and use tax documentation and other regulatory filings
• Support internal and external audits by providing requested documentation
• Provide administrative support to the accounting department as needed

Qualifications

• Bachelor’s degree in Accounting, Finance, or a related field; or an equivalent combination of education, professional training, and progressively responsible accounting experience that demonstrates the ability to perform the essential functions of the position.
• Knowledge of basic accounting principles and bookkeeping practices
• Proficiency in Microsoft Excel, Microsoft Office Suite, and accounting software
• Strong attention to detail and organizational skills
• Ability to prioritize tasks and meet deadlines
• Effective written and verbal communication and customer service skills
• Ability to maintain confidentiality and handle sensitive financial information
• Problem-solving and analytical skills

Preferred Skills

• 3-5 years of Accounts Payable experience or 2+ years of Accounting experience
• Experience with QuickBooks Desktop
• Full-cycle accounts payable processing
• General ledger reconciliations
• Vendor management
• Month-end close support

Benefits:

Temporary Period (part-time; 90 days)

• Hybrid schedule (up to 30 hours per week)
• $20 - $25 per hour (based on experience)

Permanent Period (full-time; opportunity to become a permanent employee will be based on performance and business needs)

• Hybrid schedule
• Pay increase and conversion to salary of $55,000 - $65,000 (salary based on experience and performance during temporary period)
