Become a Clerical Assistant 3 with the Pennsylvania State Police and help keep Troop K, Philadelphia Administrative Office operating smoothly. In this role, you will handle key clerical tasks that support both staff and essential police functions. This position supports the daily administrative operations of Troop K by completing a wide range of clerical tasks. It plays a key part in keeping records, reports, and office functions accurate and well organized. As a Clerical Assistant 3, you will perform the following duties:
- Timekeeping Support: Audit and code time, attendance, and overtime information
- Report Processing: Enter and manage information in the Records Management System (RMS) and process jurisdictional discovery requests
- Mail Handling: Prepare and track outgoing mail and distribute various incoming correspondence from Headquarters
- Document Maintenance: Update the Troop library of task force plans, prison updates, and evacuation plans and maintain administrative files
- Typing Tasks: Prepare correspondence, reports, form letters, and official documents drafted by Troop Command Staff
- Special Processing: Handle confidential expenditures and process firearm qualification proficiency sheets

Work Schedule and Additional Information:
- Full-time employment, 37.5 hours per week
- Work hours are 7:00 AM to 3:00 PM, Monday - Friday, with a 30-minute lunch.
- Telework: You will not have the option to telework in this position.
- Salary: In some cases, the starting salary may be non-negotiable.

Minimum Experience and Training Requirements:
- One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- One year of moderately complex clerical experience; or
- An equivalent combination of experience and training.
Additional Requirements:
- You must have at least two years of experience processing invoices, payments, and managing financial accounts.
- You must have at least two years of experience preparing and formatting various correspondence, forms, and reports.
- You must have at least two years of experience maintaining databases, spreadsheets, and logs.
- You must have at least two years of experience processing incoming and outgoing mail.
- You must have at least two years of experience utilizing various office equipment such as a personal computer, copying machine, facsimile machine, and postage meter.
- You must be able to perform essential job functions.
- Two years of experience using SAP
Legal Requirements:
- You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
