Title: Executive & Operations Coordinator Type: 1099 Contract Pay: $18-$25/hour Hours: Part time, 5-15 hours per week Job Summary: We’re looking for a highly organized, resourceful problem-solver to support our executive team in a dynamic and varied role. This is more than a traditional assistant position—it’s an opportunity to get hands‑on experience in executive operations, event planning, marketing, and business development. You’ll be the glue that keeps things running smoothly behind the scenes. Responsibilities: Executive & Administrative Support Manage calendars, schedule meetings, and coordinate internal and external logistics. Handle incoming and outgoing mail, organize digital documents, and assist with expense tracking. Operations & Event Management Plan and coordinate real estate and corporate events, from logistics to execution. Book venues, manage guest lists, and oversee vendor coordination. Travel & Vendor Coordination Arrange executive travel, accommodations, and itineraries. Research, source, and manage vendor relationships for business and personal needs. Marketing & Branding Support Assist with social media, email campaigns, and the creation of digital marketing materials. Use Canva to design branded materials, flyers, and promotional content. Client & CRM Support Maintain CRM systems and assist in business development activities. Support client communications and follow-ups. Personal & Family Logistics Assist with occasional personal errands, appointments, and family‑related logistics. Qualifications: Experience in marketing, design, business or related field. Strong organizational and time‑management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with CRM software, digital marketing tools, and social media management is a plus. Experience in our Tech Stack: Basecamp, Clockify, Canva, HubSpot, and NordPass is a plus. Ability to handle multiple tasks and work effectively in a fast‑paced environment. Detail‑oriented with a high level of professionalism and discretion. Ability to work independently and proactively in a remote/contract environment.
