Reporting to the Director of Operations and working closely with Project Managers and the Superintendent, the Construction Project Closeout Coordinator owns the clerical side of opening and closing active projects for a well-established union commercial electrical contractor specializing in office interior fit-outs across New York City. This detail-driven role maintains visibility into permits, inspections, punch lists, closeout documents, and outstanding items so projects finish on time and are billed promptly. Responsibilities

• Maintain a detailed status matrix for all active projects, including permits, inspections, punch lists, closeout documents, and outstanding items.
• Open and close electrical permits, file PAA permits, and manage filings through the NYC DOB NOW portal.
• Prepare FDNY documentation and coordinate related inspections and sign-offs.
• Assemble and submit complete closeout packages, including O&M manuals, warranties, as-built drawings, test reports, and certificates.
• Track punch lists and work with Project Managers and foremen to address and close every item.
• Coordinate with general contractors, expediters, inspectors, and building management on closeout requirements and deadlines.
• Report weekly to the Director of Operations on closeout status and flag issues delaying final completion or billing.
• Produce as-built drawings from field markups using AutoCAD when needed.

Required Qualifications

• Hands-on experience with the NYC DOB NOW portal, including opening and closing electrical permits and filing PAA permits.
• Experience preparing FDNY documentation and coordinating FDNY inspections and sign-offs.
• Proficiency with Microsoft Office, including Excel, Word, and Outlook.
• Proficiency with Bluebeam Revu.
• Strong computer skills and the ability to learn new software quickly.
• Highly organized, with the ability to track multiple open items across several projects.
• Clear written and verbal communication skills, with the ability to follow up with Project Managers, field staff, general contractors, and agencies.
• Proficiency with AutoCAD.
• Background in electrical contracting or construction project administration.
