Real Estate Operations & Project Coordinator
Sarasota, Florida | Full-Time or Part-Time

I am looking for an experienced, highly organized real estate professional to work directly with me across residential real estate, brokerage operations, renovation/construction projects, listings, and transactions.

This is not a traditional sales-agent position and is not centered around cold calling or lead generation.

I am looking for someone who understands real estate and can help me manage the many moving pieces behind transactions, properties, listings, projects, vendors, documentation, and deadlines.

Responsibilities may include:

• Coordinating real estate transactions from contract through closing
• Maintaining transaction files, deadlines, documents, and compliance
• Preparing and organizing listing paperwork and property information
• Assisting with MLS listings and listing updates
• Coordinating photographers, staging, vendors, inspections, appraisals, and showings
• Communicating with title companies, lenders, agents, vendors, and clients
• Maintaining property and project files
• Tracking active listings, pending transactions, upcoming closings, and follow-ups
• Helping coordinate renovation and construction projects
• Tracking bids, selections, vendors, timelines, invoices, and outstanding items
• Organizing property-related expenses and documentation
• Researching properties, permits, records, comparable properties, and other real-estate-related information
• Helping develop systems and processes as my real estate and project work grows
• Supporting brokerage administrative and compliance responsibilities
• Assisting with marketing coordination and property launch preparation
• Handling miscellaneous real estate and business projects as needed

The ideal candidate:

• Has meaningful experience in residential real estate
• Understands the Florida real estate transaction process
• Is exceptionally organized and detail-oriented
• Can manage multiple properties and transactions simultaneously
• Takes ownership rather than waiting for every task to be assigned
• Communicates professionally with clients, agents, vendors, and professionals
• Is comfortable with contracts, deadlines, spreadsheets, digital files, and technology
• Enjoys the operational side of real estate as much as the sales side
• Is comfortable in a small, entrepreneurial environment where responsibilities can vary from day to day

A Florida real estate license would be a strong plus, but the right experience and skill set are more important.

Experience in luxury residential real estate, new construction, renovation, development, transaction coordination, brokerage operations, or project management would be especially helpful.

This person will work directly with me and my businesses and will have the opportunity to take on increasing responsibility as the role develops.

The position may be structured as part-time or full-time depending on experience and fit.
