Executive Assistant, National Programming & Artist Relations

Overview Administrative assistant for the National Programming Group and Artist Relations Executives, responsible for scheduling, travel, expense processing, event coordination, and database management. Responsibilities Report directly to the SVP of Artist Relations. Schedule label/management and internal meetings, maintain calendars, coordinate travel arrangements and process expenses. Assist with multi-format Music Summit preparation and management: create save-the-dates, label scheduling, distribute invites, and coordinate label presentations. Maintain Artist Relations program trackers for initiatives such as Audio campaigns, AIPs, World Premieres, On the Verge, Takeover Hours, etc. Assemble the year‑end department impact report. Manage the industry contact database. Assist with talent asset outreach and collect/distribute assets across iHeart and partner platforms to support national programs and events. Provide detailed recaps for labels following content launches and extended marketing plans. Develop artist profile pitches for clients. Assist with weekly updates, newsletters, and industry-facing recaps. Create supportive promotional materials for artist campaigns. Calculate valuations for national contests, editorial features, and social promotions. Manage the On The Verge and Titanium Award processes: identify artists, submit award requests, draft communications, and coordinate messaging with programming, PR, and other departments. Follow up with artists’ camps to ensure social support. Assist with original content shoots as needed. Pull social links for tentpole events. Draft, distribute, and orchestrate industry VIP invites and fulfillment at tentpole events. Represent the iHeartRadio National Artist Relations team at local shows and artist showcases. Manage the Department Internship Program. Qualifications Exceptional attention to detail with the ability to manage sensitive information, complex schedules, and high‑volume communications accurately. Proven ability to multitask and prioritize competing demands in a fast‑paced, deadline‑driven environment. Strong organizational and project‑management skills, with the ability to anticipate needs and solve problems proactively. Excellent written and verbal communication skills and a professional, polished demeanor when interacting with artists, managers, executives, and partners. Professionalism and poise when working with artists, talent representatives, and senior industry stakeholders. Discretion, diplomacy, and confidentiality in handling sensitive talent and executive relationships. Experience supporting senior‑level executives, preferably within entertainment, music, media, or a related industry. Strong relationship‑building skills and a customer‑service mindset across all organizational levels. High proficiency in Microsoft365 (Outlook, Teams, Word, Excel, PowerPoint), Canva, and calendar management tools. Ability to adapt quickly to changing priorities and remain calm under pressure.
