Billing Specialist

Vaco is hiring for a Billing Specialist in Jacksonville, Florida. This is a contract to hire opportunity that is fully onsite. Position Summary We are seeking a detail-oriented Client Billing & Accounting Analyst to support client billing, account analysis, and accounts receivable activities for multiple business leaders and operational teams. This role is responsible for managing the billing process, monitoring work-in-progress and receivable balances, preparing invoices, supporting collections efforts, and ensuring accurate financial reporting while delivering exceptional internal and external customer service. Key Responsibilities Client Billing & Accounts Receivable Prepare, review, and process complex client invoices accurately and on schedule. Monitor work‑in‑progress (WIP) and accounts receivable balances for assigned business units or leaders. Review aging reports and proactively identify outstanding balances to help minimize overdue or uncollectible accounts. Process billing adjustments, write‑offs, retainers, and on‑account applications with appropriate supporting documentation. Maintain accurate billing records and client account information. Update billing schedules, action items, and collection follow‑up activities. Account Analysis & Financial Support Analyze client accounts and resolve billing discrepancies. Research and respond to billing and account inquiries from internal stakeholders and clients. Document meetings, discussions, and follow‑up actions related to client accounts. Assist with financial reporting and account analysis projects as assigned. Continuously expand knowledge of billing procedures, financial processes, and system functionality. Collaboration & Customer Service Build strong working relationships across departments and with external clients. Provide guidance and support to team members regarding billing processes and procedures. Communicate professionally and effectively with internal and external stakeholders. Handle confidential financial information with discretion and professionalism. Administrative & Operational Support Maintain organized documentation and account records. Prioritize multiple assignments while meeting deadlines in a fast‑paced environment. Follow company policies, procedures, and internal controls. Perform additional duties and special projects as assigned. Compensation & Benefits Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors, including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location, and other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
