About the Role
Our client, a nationally recognized retail organization with a large-scale portfolio of store locations across the United States, is seeking a Roofing Project Coordinator to support capital improvement and facilities management initiatives. This role will focus on coordinating roofing replacement projects, warranty work, and assessment-driven programs across a complex portfolio of retail locations.
The Roofing Project Coordinator will play a critical role in maintaining project data, tracking milestones, supporting vendor and stakeholder communication, and ensuring projects are activated, documented, and closed out accurately and on schedule. This is a hybrid position with onsite work required every Tuesday. Job Description
The Roofing Project Coordinator is responsible for supporting the administration and execution of roofing-related capital projects throughout a national retail portfolio. This role will work closely with facilities, construction, vendors, and cross-functional teams to maintain accurate project information, monitor progress, and ensure timely project completion.

Portfolio and Data Management

• Pull and validate site drawings for planned and unplanned roofing projects
• Maintain and update project tracking tools to ensure real-time portfolio visibility
• Clean, organize, and archive historical project data
• Manage user access and permissions within project management systems
• Ensure portfolio and asset data accuracy across multiple operational platforms
• Support the setup and maintenance of asset portfolios for new locations
• Maintain roofing assessment data, update results, create project lists, and support scheduling activities
• Monitor project milestones and key dates to maintain portfolio accuracy

Project Activation and Work Order Management

• Open and manage project locations within internal systems to support project activation
• Create, update, and bulk-load work orders for roofing replacement projects
• Generate and manage warranty-related work orders
• Coordinate assessment follow-up work orders with external vendors
• Support roofing operational processes and project execution activities
• Manage project closeout activities to ensure timely vendor payment and completion of required documentation

Milestone Tracking and Communication

• Track project milestones and maintain accurate status updates
• Support contract documentation management and tracking
• Draft and distribute communications related to planned and unplanned roofing work
• Monitor internal feedback channels and escalate legitimate project concerns when appropriate
• Coordinate project kickoff meetings, milestone reviews, and stakeholder communications
• Support business reviews, reporting activities, and ad hoc project requests

Success Measures

• Timely activation and completion of roofing capital and assessment projects
• Accurate and reliable project and portfolio data across all systems
• Effective project closeouts that enable timely vendor payments
• Reduced project escalations through proactive communication
• Improved visibility into project status and milestone compliance

Qualifications

Required Qualifications:

• Ability to manage multiple projects simultaneously while maintaining a high level of accuracy and attention to detail
• Strong organizational, prioritization, and time management skills
• Excellent written and verbal communication skills
• Strong customer service orientation with the ability to collaborate effectively across cross-functional teams
• Proficiency with Microsoft Office applications or the ability to quickly learn new technology platforms
• Ability to learn and effectively utilize project and asset management systems, including Smartsheet, Skylight, SAP, Maximo, and Procore
• Experience coordinating projects, managing schedules, tracking milestones, or supporting operational programs
• Ability to analyze project information and maintain accurate records across multiple systems

Preferred Qualifications:

• Bachelor's degree in Business, Construction Management, Facilities Management, Project Management, or a related field
• Two or more years of experience in facilities management, construction coordination, capital program support, or a related environment
• Experience supporting building maintenance, roofing, construction, or facilities-related projects
• Familiarity with project management, asset management, or enterprise resource planning (ERP) systems
• Experience working within large, multi-site organizations managing complex project portfolios
