Executive Assistant/Legal Assistant

Executive Assistant I (S) Position Number: 65024697, Grade: NC11. Job Overview This position provides high‑level administrative, operational, and coordination support to the Department’s Executive Leadership Team and the Office of General Counsel, ensuring smooth executive operations and effective management of administrative processes. The employee serves as a central point of contact, overseeing calendar management, meeting preparation, travel coordination, event logistics, and communication with internal and external stakeholders. The role includes managing confidential matters, preparing executive correspondence and documentation, acting as an interdepartmental liaison, assisting fiscal processes, and contributing to departmental engagement initiatives. Responsibilities Support the Executive Leadership Team and Office of General Counsel to ensure efficient executive operations. Perform administrative and compliance duties, including formatting and organizing legal documents. Assist with fiscal processes such as travel authorizations, reimbursements, invoices, and direct‑pay requests. Support the boards and commissions under the N.C. Department of Administration in document/material preparation, logistics, and planning. Assist with ethics compliance by monitoring State Ethics Act filings, training deadlines, and maintaining the agency Gift Tracker. Oversee NC State Clearinghouse submissions and maintain organized electronic and physical legal files per records and retention requirements. Serve as liaison to the State Archives, assisting with retention and compliance activities under the Chief Records Retention Officer. Facilitate public records requests with the paralegal and public records team, including document collection and redaction under attorney supervision. Coordinate with DOA divisions on document requests, compliance matters, and track deadlines for contract reviews and case‑related timelines. Qualifications Minimum Education and Experience: An equivalent combination of education and experience may qualify the applicant. Options include: Bachelor’s degree (preferably in business administration or related discipline) with experience. Associate’s degree in secretarial science, business administration, or related discipline with at least two years of progressively responsible legal/administrative/office management experience. High school diploma or GED with at least four years of progressively responsible legal/administrative/office management experience. Other combinations of education and experience as specified in the Education and Experience Equivalency Guide. Knowledge, Skills, and Abilities: Knowledge of administrative and legal program requirements, ability to plan and prioritize tasks, demonstrate sound judgment, establish positive relationships, communicate effectively in written form, edit and organize content, apply data research and content analysis to legal and administrative documents, and anticipate and respond to the needs of executive staff.
