About the Role
We are seeking a highly organized and proactive Office Manager / Project Manager to oversee the day-to-day operations of our Chicago office while supporting internal projects and company initiatives. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and can effectively manage both administrative and project-related responsibilities.
The successful candidate must be based in the Chicago area and willing to work from the office at least two days per week.
Key Responsibilities - Office Management
- Oversee all day-to-day office operations and ensure the office runs smoothly and efficiently.
- Manage office supplies, equipment, vendors, and service providers.
- Coordinate office maintenance, repairs, and facility-related needs.
- Organize meetings, team events, and in-office activities.
- Maintain office policies, procedures, and operational standards.
- Serve as the primary point of contact for office-related matters.
Project Management
- Coordinate and track internal projects from initiation through completion.
- Create and maintain project timelines, deliverables, and action items.
- Facilitate communication across teams and stakeholders.
- Monitor project progress and proactively identify potential roadblocks.
- Prepare reports, presentations, and project updates for leadership.
- Support process improvement initiatives and operational efficiencies.
Administrative Support
- Assist leadership with scheduling, coordination, and special projects.
- Manage documentation, records, and organizational systems.
- Support onboarding and general employee experience initiatives.
- Handle ad hoc operational and administrative responsibilities as needed.
Qualifications Required
- 3+ years of experience in office management, project coordination, operations, or a similar role.
- Exceptional organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Ability to work independently and take ownership of responsibilities.
- Proficiency with Microsoft Office, Google Workspace, and project management tools.
- Must be located in the Chicago area and willing to work in-office two days per week.
Preferred
- Experience working in a professional services environment.
- Legal industry experience is a plus, but not required.
- Familiarity with project management methodologies and tools.
- Experience supporting executives or managing cross-functional projects.
