As a member of the Accounting team and working closely with the Human Resources team, this role is responsible for managing weekly payroll processes while ensuring compliance with federal, state, and prevailing wage requirements. The Payroll Specialist serves as the subject matter expert for payroll and payroll-related reporting that support data-driven decision making and operational integrity.ImpactBy delivering consistent, accurate payroll and promptly resolving discrepancies, the Payroll Specialist directly supports employee satisfaction, audit readiness, and regulatory compliance. This role safeguards benefit and total compensation alignment, strengthens internal controls, and reinforces the organization's reputation for reliability and integrity in payroll operations.Key ResponsibilitiesManage full-cycle weekly payroll processing, ensuring accuracy and adherence to established deadlinesReview weekly timesheets and coordinate with employees and approvers to ensure timely and accurate completionMaintain and update payroll data including deductions, reimbursements, raises, bonuses, per diem, and allowancesProcess payroll and investigate, resolve, and correct discrepancies or inaccuracies on a weekly basisServe as a primary point of contact for employee and manager inquiries related to timekeeping, payroll, and prevailing wage requirementsMaintain prevailing wage payroll processes, ensuring reporting and documentation comply with federal, state, client, and jobsite requirementsCollaborate with internal and external auditors to meet project and compliance requirements, including reviewing audit reports and issuing corrections as neededEnsure payroll deductions, allowances, and reimbursements are accurate and aligned with employee elections and employer contributionsReconcile benefit and employee insurance billingsPrepare labor reports, general ledger reports, and ad hoc payroll-related reporting as requestedManage expense reimbursement processes and ensure team members are proficient in the expense reimbursement software platformSupport data generation and recordkeeping related to raises, bonuses, and total compensationCore Competencies & SkillsSystematic, compliance-driven approach to payroll administrationExceptional attention to detail to ensure accuracy and audit readinessStrong analytical and problem-solving skills related to payroll and accounting dataProcess-oriented mindset with strong systems and controls awarenessQualifications & ExperienceRequiredBachelor's degree in accounting, business administration, or a related discipline (or Associate's Degree with 5 or more years of payroll experience)Three (3) or more years of experience in an accounting or payroll role with direct responsibility for payroll processing and reportingExperience with SaaS payroll software and expense management softwareStrong understanding of payroll regulations, wage and hour compliance, and internal controlsPreferredExperience with Miter payroll softwareAmerican Payroll Association (APA) certificationPrevailing wage payroll experienceWork Location & TravelAfter the initial 90-day training period, this role is eligible for a hybrid work schedule.
