Senior Bookkeeper / Office Administrator

$38/hour | Full-Time | Westbury, NY (On-Site)

About the Role

We are seeking a highly experienced and detail-oriented Senior Bookkeeper / Office Administrator to take full ownership of our day-to-day accounting operations.

This is a hands-on, high-responsibility role focused on maintaining accurate financial records, managing cash flow visibility, and ensuring operational discipline across accounts receivable and payable.

You will report directly to ownership and work closely with an external accounting advisor.

Key Responsibilities

Accounts Receivable (A/R) – Full Ownership

  • Generate and manage all client invoicing
  • Track incoming payments and outstanding balances
  • Proactively follow up on collections (email and phone)
  • Maintain accurate A/R reporting and aging

Accounts Payable (A/P) – Full Ownership (No payroll)

  • Process vendor bills accurately and on time
  • Manage payment schedules and approvals
  • Maintain organized vendor records and documentation

Reconciliation & Financial Accuracy

  • Perform monthly bank and credit card reconciliations
  • Maintain clean and accurate general ledger
  • Ensure all financial data is properly recorded and categorized
  • Identify discrepancies and resolve issues proactively

Systems & Process Discipline

  • Maintain strict accuracy within QuickBooks Online
  • Ensure consistency between operational activity and financial records
  • Help improve and enforce internal processes and controls
What We're Looking For

Required Experience

  • Strong, hands-on experience with QuickBooks Online (required)
  • Proven experience managing both Accounts Receivable and Accounts Payable independently
  • Experience in construction, trades, or project-based businesses (required)
  • Solid understanding of accounting fundamentals and financial workflows

This role requires strong, real-world QuickBooks Online experience - not basic familiarity.

Technical Skills

  • Proficiency in Microsoft Office 365 (Excel, Outlook, OneDrive, etc.)
  • Strong organizational and documentation skills

Compensation & Schedule
  • $38/hour (full-time)
  • Monday–Friday, 9:00 AM – 5:00 PM (on-site)
