Schedule: Full-time year round

In this role, the Facilities & Events Coordinator will oversee all aspects of campus facilities and event operations. This role requires overseeing the coordination and logistics of internal and external events, including space bookings, calendar management, equipment setup, and facilities rentals. The ideal candidate will collaborate with multiple departments across both campuses and redefine expectations for event setup, management, and teardown to ensure a seamless experience for all users.

• Scheduling: Manage space requests and a centralized calendar of internal and external events in IncidentIQ and Google Calendar across both campuses, keeping bookings accurate and preventing conflicts.
• Event planning: Confirm layouts, timelines, equipment, access, and staffing with event organizers. Coordinate setup, teardown, cleaning, security, catering, and AV with the responsible departments, setting clear standards and responsibilities.
• Event readiness: Conduct walkthroughs and readiness checks, resolve outstanding details and last-minute changes, and assist with room setup and basic AV as trained.
• Event standards: Maintain consistent standards for seating, signage, presentation, and guest flow.
• External users: Serve as the primary contact for external groups using school facilities. Communicate requirements, route requests through the approval process, and keep rental agreements and booking processes consistent and followed.
• Departmental and IT support: Partner with the Athletic, Arts, Academic, Operations, and IT departments to run events smoothly, directly handling A/V setup, teardown, technology support, and troubleshooting.
• Inventory: Maintain the inventory of event materials and equipment so items are available and in working order.

• Alignment with Aug Prep's Statement of Faith and North Star, with active participation in a local church.
• Excellent organizational and communication skills, with dependable follow-through and the ability to manage multiple events and facility bookings concurrently.
• One to three years of relevant experience preferred, or an equivalent combination of experience and demonstrated skills in event coordination, facilities, hospitality, venue management, or school operations.
• Ability to anticipate event needs, identify missing details, and independently follow through while recognizing when to involve leadership or specialized support.
• Ability to manage competing priorities, collaborate across departments, and manage relationships with external partners while remaining calm when plans change.
• Proficiency with Google Workspace, shared calendars, spreadsheets, and digital scheduling tools, along with familiarity with varying IT platforms.
• Familiarity with basic AV equipment and experience supporting event technology, with a willingness to learn campus systems.
• A service-minded approach and an eye for detail that make spaces feel organized and welcoming.
• Experience with Incident IQ, Bound, workflow automation, space reservation software, or supporting multiple locations is a plus.

Work hours will vary based on season and program needs. While the majority of work will occur during regular business hours, some evenings and weekends will be required.
