This position will serve as an ambassador of care for patients both before and after a visit. The role will support clinics and providers and assist in departmental workflows, processes, and procedures to maintain consistency and ensure patient satisfaction throughout the clinic. Location Cincinnati, OH, United States Qualifications High School Diploma or GED (minimum required); Associate’s Degree (preferred). 2‑5 years equivalent experience (minimum 2 years, preferred 3‑5 years). Excellent customer service skills, ability to multitask and work independently, excellent interpersonal skills, and ability to train others as needed. Responsibilities Patient Population – engage in population‑appropriate communication, provide clear instructions to patients and families, involve family or guardian in assessment and ongoing care, recognize physical limitations, respond to behavioral health issues, interpret population data and plan care appropriately, administer medication and operate equipment safely, and recognize signs of abuse or neglect. Administration – answer telephone calls and direct to the correct person; manage Outlook Calendar for providers; communicate with patients by phone and in person regarding scheduling; manage office incoming mail; prepare charts/obtain records for upcoming clinic; prepare FMLA/Disability paperwork; serve as point of contact for ordering supplies and inventory control; train new employees or internal transfers as needed. Scheduling – schedule and coordinate patient services (appointments, surgeries, tests, procedures); manage OR block time with provider’s Outlook calendar; conduct pre‑visit screenings; document and communicate cancellations and time changes; review daily schedules and alert leadership to discrepancies; liaise between staff and procedural areas for scheduling needs. Data Management – assist providers with documenting notes, orders, and prescriptions in the Electronic Medical Record; pending documents for provider review and signature; maintain a system to track patient forms, date upon arrival, and pull as needed; track, obtain, and follow up on missing documentation; perform audits on patient records for insurance billing and compliance. Pre‑Visit Planning, Preparation, and Registration – verify complete and accurate patient information during registration, collect co‑pay; relay exam preparation instructions; place reminder calls for scheduled patients and note cancellations to open additional clinic spots; create EPIC accounts; complete required documentation; perform pre‑authorizations and pre‑certifications; conduct registration, greeting, and sign‑in of patients.
