Trusts & Estates Paralegal HireNow Staffing is actively recruiting a seasoned, highly skilled Trusts & Estates Paralegal to join one of our valued client partners. We are seeking a highly organized legal professional with extensive experience supporting estate and trust administration matters, working directly with attorneys, fiduciaries, beneficiaries, financial institutions, accountants, and high-net-worth families. This position is ideal for a paralegal who thrives in a detail-driven environment and possesses a strong understanding of Florida probate administration, trust settlement procedures, estate tax filings, fiduciary documentation, and complex asset management matters. The successful candidate will demonstrate exceptional organizational abilities, professionalism, discretion, and a commitment to delivering outstanding client service. The Trusts & Estates Paralegal will play a critical role in supporting estate and trust administration matters from inception through final distribution. This position requires a strong working knowledge of Florida probate procedures, trust administration processes, fiduciary responsibilities, tax-related filings, and court filing requirements. Key responsibilities include: Managing estate and trust administration matters throughout the lifecycle of each file. Collecting, organizing, and analyzing financial and asset-related information from multiple sources. Preparing inventories, schedules, accountings, and supporting documentation. Drafting probate-related pleadings, fiduciary documents, correspondence, and administration materials for attorney review. Assisting with estate, gift, and fiduciary income tax return preparation and supporting documentation. Coordinating and monitoring probate administration activities and trust settlement matters. Managing court filings and maintaining compliance with applicable filing requirements. Tracking critical deadlines, distribution schedules, tax deadlines, and court-related obligations. Communicating professionally with beneficiaries, fiduciaries, financial advisors, accountants, and other third parties. Maintaining organized files and ensuring accuracy of all documentation and records. Utilizing legal, financial, and tax software platforms to support administration activities. Reviewing and proofreading documents to ensure accuracy, consistency, and compliance. Extensive experience supporting probate and trust administration matters. Hands-on experience working with IRS Forms 706, 709, and 1041. Strong knowledge of Florida probate procedures and administration requirements. Experience utilizing Florida e-filing systems and probate court procedures. Formal paralegal training through a certificate program, associate degree, bachelor's degree, or equivalent legal education. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and related tools. Experience preparing fiduciary documentation, accountings, inventories, and administration-related materials. Strong organizational, analytical, and problem-solving skills. Exceptional attention to detail and document accuracy. Ability to manage multiple active matters simultaneously. Authorized to work in the United States without sponsorship. No current or future visa sponsorship requirements. Preferred Qualifications: Significant experience supporting high-net-worth estate and trust administration matters. Advanced understanding of estate, gift, and fiduciary income tax concepts. Experience working directly with accountants, wealth advisors, trustees, and fiduciaries. Familiarity with trust settlement, complex asset transfers, and beneficiary distributions. Experience utilizing legal practice management, tax preparation, and estate administration software. Strong client relationship management skills. Proven ability to independently manage large volumes of estate administration responsibilities. Demonstrated employment stability and progressive trusts and estates experience. Experience supporting attorneys in sophisticated probate and trust administration practices. HireNow Standout Candidates: The strongest candidates will demonstrate extensive Florida trusts and estates experience, advanced knowledge of probate administration, estate tax filings, fiduciary responsibilities, and trust settlement procedures. Candidates who have successfully supported high-net-worth estates, managed complex administration matters, and maintained long-term employment stability will receive priority consideration. HireNow Disqualifiers: Candidates with frequent job changes, excessive employment gaps, or unstable work histories will not be accepted or interviewed. No Florida probate or estate administration experience. No hands-on experience with Forms 706, 709, or 1041. Background primarily focused on litigation, corporate law, or unrelated legal practice areas. No experience supporting estate or trust administration matters. Lack of formal paralegal training or equivalent legal education. Requiring visa sponsorship now or in the future. Unwilling or unable to work onsite in Naples, Florida. Failure to meet the required qualifications listed above.
