Job Post SummaryWe are seeking an experienced Proposal Administrator to support the complete proposal lifecycle from solicitation review through final submission. The role is responsible for coordinating cross-functional teams, ensuring proposal compliance, managing schedules and documentation, maintaining proposal resources, and supporting business development initiatives. The ideal candidate has experience with government and commercial proposal processes, strong project coordination skills, excellent writing abilities, and the ability to manage multiple deadlines in a fast-paced environment. Job Title Proposal Administrator Job Roles And Responsibilities Proposal Management Review RFPs, RFQs, and RFIs to identify compliance and administrative requirements. Manage the complete proposal lifecycle from receipt through submission. Ensure proposal compliance with customer and internal requirements. Develop and maintain proposal schedules, compliance matrices, budgets, and action trackers. Coordinate with engineering, finance, contracts, supply chain, leadership, and technical teams. Maintain proposal templates, content libraries, and past performance databases. Track proposal metrics including win/loss ratios, proposal cycle times, and workload. Support continuous improvement of proposal development processes. Administrative Support Provide administrative support to business leadership. Coordinate meetings, schedules, communications, and events. Assist with research, reporting, documentation, and special projects. Handle confidential business information with professionalism and discretion. Required Qualifications and Certifications Bachelor's degree in Business, Engineering, or a related field (or equivalent experience). Minimum 5 years of experience in Proposal Administration, Proposal Coordination, Contracts Administration, or Business Development. Strong written and verbal communication skills. Advanced Microsoft Office skills (Word, Excel, PowerPoint). SharePoint experience. Strong document formatting and proposal writing skills. Excellent project management and organizational skills. Ability to prioritize multiple deadlines. High attention to detail. Ability to work with confidential information. Preferred Aerospace or Defense industry experience. Government proposal experience. Knowledge of FAR and DFARS. Experience supporting government agencies and commercial customers. Proposal management software experience. Cost proposal and pricing strategy experience. Strong editing and technical writing skills.
