Administrative Assistant
We are seeking a reliable and customer-focused Administrative Assistant to support a busy facilities coordination center. This is a temporary role designed to provide day-to-day operational support in a fast-paced, service-driven environment.
Key Responsibilities
- Serve as the first point of contact for incoming requests (phone, email, and in-person)
- Triage and respond to facilities-related inquiries (e.g., maintenance requests, service issues)
- Dispatch work orders to appropriate internal teams based on urgency
- Enter and track work orders in a computerized maintenance system (training provided)
- Perform data entry and maintain accurate records
- Support general administrative tasks as needed
- Communicate effectively with internal teams and stakeholders to ensure timely resolution of requests
Qualifications
- Strong customer service and communication skills
- Ability to multitask and pivot between responsibilities in a dynamic environment
- Solid data entry and organizational skills
- Comfortable using basic to intermediate Excel (advanced functions not required)
- Positive attitude with the ability to stay calm under pressure
- Previous administrative or customer service experience preferred
Nice to Have (Not Required)
- Experience in facilities, dispatch, or service coordination environments
- Exposure to work order or maintenance management systems (training available)
