Job Summary

This position will be a floating Administrative Assistant reporting to the Operations Manager and supporting the senior management team.

What a typical day looks like:

Responsible for senior management support, including clerical functions, meeting coordination, management of customers & remote staff when on site, and routine administrative activities.

Self-starter, able to manage deadlines and time-sensitive tasks

Ability to prioritize responsibilities

What You'll Do

Manage calendar for internal/external meetings. Plan and schedule meetings including room reservations, invitations and accommodation and food and beverages.

Coordinate and possibly confirm travel arrangements

Prepare meeting materials, agendas, edit presentations, reports, and correspondence.

Compose and possibly initiate routine or non-routine correspondence and memoranda

Handle administrative duties including but not limited to: answering incoming calls, copying, binding, opening and routing mail, electronic and standard file management and ordering office supplies.

Event planning and coordination

Perform other duties as assigned.

The experience we're looking to add to our team:

Five years' experience in a professional office setting

Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Exceptional organizational and time management skills with outstanding attention to detail.

Strong problem-solving skills with the ability to anticipate needs before they arise.

Self-motivated, resourceful, and capable of working independently with minimal supervision.

Professional presence with the ability to interact confidently and clearly communicate with executives, customers, vendors, and employees at all levels.

Follow through on commitments

The applicable salary range for the position is $27 - $31 and any additional range displayed should be disregarded.
