Surgical Coordinator

Overview The Surgical Scheduling Coordinator reports to the Surgical Services Business Manager and performs a variety of surgical scheduling duties with multiple hospital operating rooms, medical admissions, and pre‑admission testing (PAT). Employees must also demonstrate the core Success Factors, which guide teamwork and results: Instill Trust and Value Differences Patient and Community Focus and Collaborate Responsibilities Demonstrate competency in performing surgical coordinating duties individually and as part of a team, exercising discretion when interacting with patients Coordinate and schedule elective and urgent surgeries for the physician practice according to hospital guidelines Utilize surgical block time whenever possible; release assigned blocks when requested by a physician or request surgical time outside of block time Coordinate surgical assist cases Respond to questions regarding the physician’s operating room schedule and communicate hospital policies and procedures to physician offices Communicate schedule changes with the OR, PAT, and physician office Use designated computer software and forms to schedule all surgical cases Collaborate with hospital surgical services, financial counselors, and admissions office Schedule appointments and pre‑admission testing within established guidelines Check office and surgery schedule daily Monitor physician privileges to ensure admitting privileges are current Attend and participate in staff meetings Maintain quality assurance, safety, environmental and infection control per hospital policies Perform other related duties as assigned Minimum Qualifications High school diploma or equivalent required; associate’s degree preferred in Secretarial Sciences or related field Proficient personal computer skills Excellent written and oral communication, prioritization and organizational skills Knowledge of medical terminology Demonstrated ability to provide care to patients throughout the lifespan, considering aging, human development, and cultural diversity Minimum of 3 years experience as a surgical scheduler in a physician’s office Familiarity with medical office procedures, terminology and surgical scheduling preferred; experience in leadership, organization, communication and willingness to support practice staff Work Environment and Physical Requirements Healthcare setting including hospitals, physician offices, and ancillary entities; handles medical equipment and interacts with patients; hazards minimized via safety procedures and protective equipment.
