Administrative Assistant II

Administrative Assistant II – Undergraduate Studies The Administrative Assistant II provides administrative support to programs within Undergraduate Studies, including the Student Success Office, Pre-Transfer Advising, and Pre-Law Advising. The role serves as the receptionist for the office, answering routine questions about all programs and procedures, overseeing and training student workers on front desk tasks and semester projects, and maintaining the office by monitoring supplies and reporting technical problems. The position also reconciles three financial accounts, maintains financial records for office expenses, assists in financial analysis, arranges transportation and accommodations, processes travel expense reports, purchase orders, and budgeted items, coordinates events, reserves conference rooms, manages catering contacts, handles event set-up and breakdown, and tracks and reports event costs and statistics. Responsibilities Serve as receptionist and answer routine questions about programs and procedures Oversee and train student workers on front desk tasks and semester projects Manage office supplies and report technical problems Reconcile financial accounts and maintain records of office expenses Assist in financial analysis and finance meetings Arrange transportation and accommodations, including itinerary preparation Create, process, and follow up on travel expense reports, purchase orders, and budgeted items Coordinate events: reserve conference rooms, manage catering contacts, event set-up and breakdown, transportation, ordering supplies, and report costs and statistics Apply understanding of policies and procedures related to advising on campus Minimum Qualifications High School Diploma or GED Three years of experience providing administrative support Additional Requirements May be required to complete the institution's required skills assessment Proficiency in word processing, spreadsheets, databases, presentation programs, email, calendaring software, and Internet usage Required Knowledge, Skills & Abilities General knowledge of office practices and procedures Effective oral and written communication skills Proofreading and editing written documents Understanding and following oral and written instructions Interacting effectively with internal and external parties with courtesy and efficiency Planning, organizing, prioritizing, and executing multiple assignments with general instructions Employment Conditions Salary Range: $46,736.00 – $56,083.00 Benefits: Regular Non-exempt benefits (see university benefits page) Background Check: Offer of employment contingent upon completion of a background check; adverse findings may lead to rescission of offer Employment Eligibility: Must complete Form I‑9 and provide documents establishing identity and work authorization within federal immigration timeframes Financial Disclosure Required: No. For more information, visit Maryland's State Ethics Commission website.
