Position Summary

We are seeking an Accounts Receivable Clerk to support the Finance team in its day-to-day activities. This position is an integral part of the Accounts Receivable team and is responsible for managing customer accounts, processing payments, supporting collections, maintaining accurate account records, releasing orders, and assisting with various accounting activities.

Key Responsibilities

• Apply and post customer payments in Great Plains (GP).
• Process customer electronic payments, including:
• • Online payments through CashPro.
  • Faxed checks through the CashPro / Bank of America platform.
  • Credit card payments through the PayEZ portal.
  • Verify that a signed 3% convenience fee form is on file when required.
• Scan checks through CashPro.
• Set up, maintain, and update customer accounts, including creating and maintaining master data in InSight and Great Plains.
• Perform Accounts Receivable collections, including making collection calls on past-due invoices.
• Maintain accurate and up-to-date collection notes regarding past-due invoices and communications with Sales and Customer Success.
• Communicate with customers regarding invoice issues, short payments, discrepancies, account changes, and requests for additional credit.
• Enter customer credits into InSight after receiving approved documentation from Customer Success.
• Coordinate with customers regarding applicable sales tax requirements based on the state where products are shipped.
• Collect sales tax exemption certificates and maintain accurate records in InSight and Great Plains.
• Scan and organize required sales tax documentation.
• Release shipping and booking orders as required.
• Assist with miscellaneous accounting duties and other Finance-related projects as assigned.

Qualifications & Requirements

• Bachelor’s degree in Accounting, Finance, Business, or a related field.
• 1+ year of customer service and/or finance experience.
• Accounting or Accounts Receivable background preferred.
• Proficiency with Microsoft Excel and Microsoft Office applications.
• Strong computer literacy and ability to learn financial and business software systems.
• Excellent verbal and written communication skills.
• Strong customer service and interpersonal skills.
• High sense of urgency and ability to resolve issues efficiently.
• Exceptional attention to detail.
• Highly organized with strong follow-through.
• Excellent data entry accuracy.

Work Environment

This position operates primarily in a professional office environment and routinely uses standard office equipment, including computers, telephones, photocopiers, and filing systems.

When visiting the production area, employees are required to use appropriate personal protective equipment (PPE) in accordance with applicable safety requirements.
