Office Manager Job Location: Birdsboro, PA 19508 Position Type: Full Time Education Level: 2 Year Degree Travel Percentage: Negligible Job Shift: Day About TotalRecycle TotalRecycle is a groundbreaking, state‑of‑the‑art single stream recycle facility that further advances our steadfast commitment to a greener environment. Located on a 14‑acre site in Birdsboro County, our 75,000 square foot facility accepts all items capable of being recycled. What You Will Do Establish and maintain files and filing systems in accordance with the Division policies and procedures. Maintain all Division employee files, including accurate attendance records, all electronically maintained in the current HR software system (HRIS). File disciplinary documentation and ensure it’s entered into the HRIS timely. Perform data entry and reporting. Backup Dispatchers completing Work Orders as required. Coordinate and track the flow of invoices through the Division, ensuring proper approvals are obtained and invoices are submitted to Corporate Accounts Payable each week. Timely and accurately report all accidents and workers’ compensation claims. Answer customer service calls and train office personnel on proper phone procedures. Complete accurate payroll records for submission to the corporate payroll department no later than the deadline set by the Payroll Manager. Recruit assigned roles from phone screen to onboarding per process as determined by the Director of Human Resources. Conduct new hire orientation per the process. Ensure new hires complete Work Opportunity Tax Credits in the form’s entirety the day they are onboarded. Complete discipline and attendance logs timely and accurately, ensuring termination documents (inclusive of voluntary quit forms) are uploaded into the HRIS prior to termination. Respond to emails and requests timely, acknowledging emails within 24 hours. Complete special projects and other job duties as assigned. Qualifications Two to three years of Office Management experience preferred. Bachelor’s degree in business administration or related field preferred. Excellent organization and verbal/written communication skills. Strong sense of accountability. Ability to recognize and meet deadlines. Experience with computers and scheduling. Experience with construction software is a plus. Strong work ethic with the ability to work independently in a fast‑paced environment. Excellent verbal and written communication skills and strong interpersonal skills. Must be organized and motivated to succeed with the ability to prioritize multiple tasks. Strong skills related to Microsoft Office software products.
