Business Operations Assistant (Sales & Systems Support)

Trossen Robotics is seeking a highly organized and meticulous Business Operations Assistant to support Sales Operations and internal systems. This role will begin with a strong focus on project-based work, centered on improving efficiency, cleaning and structuring data, and supporting system integrity across sales and operations workflows to help scale the business.

You will work closely with leadership and Sales Operations to support ongoing initiatives, execute defined projects, and assist in improving how information flows through the business. This is a direct support role designed for someone who is dependable, detail-focused, and comfortable executing within established processes.

Key Responsibilities

Sales Operations & Customer Support

  • Support project-based efforts to organize and standardize customer communication and order workflows
  • Assist with customer communication including order updates, follow-ups, and general inquiries
  • Support preparation and issuance of quotes, invoices, and order documentation
  • Help maintain accurate and organized records within the CRM (Nutshell or similar)
  • Ensure timely updates are reflected across systems

Accounts Receivable Support

  • Support projects focused on aligning invoicing, order data, and customer records for accuracy
  • Assist with invoicing accuracy by aligning quotes, orders, and customer records
  • Support tracking of payments and outstanding balances
  • Help follow up on open receivables as directed
  • Maintain clean and accurate transaction records across systems

Data Integrity & Systems Support

  • Focus on data cleanup and system organization projects to improve data integrity across platforms
  • Assist with auditing, cleaning, and maintaining CRM and ERP data
  • Support ongoing data cleanup initiatives to improve reporting accuracy
  • Identify inconsistencies in data and flag for correction
  • Help ensure consistency across systems by following established processes

Reporting & Data Support

  • Support projects to organize and structure datasets used for internal reporting
  • Assist in preparing and organizing data used for reporting and forecasting
  • Support data validation efforts to ensure accuracy of internal reports
  • Maintain structured datasets and tracking tools used by leadership
  • Help improve data reliability and consistency across reporting inputs

Operations & Workflow Support

  • Assist with project-based efforts to streamline workflows and improve cross-functional coordination
  • Support coordination between sales, operations, and leadership as needed
  • Assist with order tracking, shipping documentation, and logistics coordination
  • Help execute process improvement initiatives and internal projects
  • Provide general administrative and operational support to keep workflows moving efficiently

Requirements

  • 13 years of experience in operations, administrative, or support-based roles
  • Strong attention to detail with a focus on data accuracy and organization
  • Comfortable working in spreadsheets (Excel or Google Sheets) for tracking and data cleanup
  • Ability to follow defined processes and execute tasks consistently and accurately
  • Strong written and verbal communication skills
  • Highly organized with the ability to manage multiple tasks and shifting priorities
  • Reliable, responsive, and comfortable working in a direct support role
  • Problem-solving mindset with the ability to identify inconsistencies and flag issues
