This role provides high-level administrative support to the Senior Vice President, Vice President, Senior Director, and other members of the leadership team, ensuring seamless coordination and execution of executive priorities.Primary ResponsibilitiesCreate, edit, and prepare presentation materials for sales executives (as applicable)Analyze and report on monthly, quarterly, and year-to-date sales volume trendsDevelop custom queries within proprietary sales tracking systemsCompare wine and spirits sales across categories, price points, and market segments for use in presentations and business reviewsMonitor and track budgets, expenses, service contracts, and supplier fiscal dataManage logistics and agendas for meetings, dinners, off-site functions, and special events—including travel and hotel arrangementsScreen incoming calls to the Executive team, assess urgency, and respond based on knowledge of preferences, priorities, and availabilityMaintain and communicate executive availability through calendar oversight, including appointments and travelMaintain and communicate executive availability through calendar oversight, including appointments and travelPrioritize and process all incoming correspondence to the President's officeSupport a variety of internal customer groups with adaptability and professionalismPrepare and process expense reports, operational invoices, meeting minutes, and internal communicationsCoordinate and maintain senior management calendars, meetings, and conference callsArrange travel for management, including transportation, lodging, and itinerariesEnsure attention to detail in office operations and related departmental functionsSupervise the reception area and administrative support staffPerform other job-related duties as assignedMinimum QualificationsBachelor's degree plus five years of experience; or an equivalent combination of education and experienceProficient in Microsoft Office SuiteExcellent time management skills, self-driven multitasker able to work with heavy interruptions, time constraints, and strict deadlinesGreat organizational skills and attention to detail are required in handling clients, documentation, and prioritiesExcellent customer service skills in all interactions with internal and external customers, including but not limited to personnel from other divisions, vendors, suppliers, and other departmentsAbility to work independently and efficiently, organizing and prioritizing work to meet deadlinesAbility to exhibit a high level of integrity and commitment to maintaining confidential informationPhysical DemandsPhysical demands include a considerable amount of time sitting and typing/keyboarding, using a computer (e.g., keyboard, mouse, and monitor), or adding machinePhysical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stoopingMay require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbsEEO StatementSouthern Glazer's Wine and Spirits, an Affirmative Action/EEO employer, prohibits discrimination and harassment of any type and provides equal employment opportunities to all employees and applicants for employment without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
