Executive Assistant

Aerialogists LLC

Company Description Aerialogists LLC is an aerial and specialty entertainment and beverage catering company that creates healthy elixirs and personalized craft cocktails served “Cirque du Soleil style” above event guests. Fully licensed and insured, the company supports events and weddings across Southern California and in major cities worldwide. Aerialogists provides a free-standing aerial rig suitable for outdoor venues and select indoor spaces, designed to protect ceilings and floors. Founded in 2019 by Becca Battoe, Aerialogists blends aerial artistry, innovative mixology, healing arts, and performance workshops into a unique guest experience. The company also offers corporate wellness packages featuring yoga, breathwork, sound healing, and custom elixirs to create events that are visually and sensorially immersive. Role Description This is a part‑time, on‑site Executive Assistant role based in Los Angeles, CA. The Executive Assistant will support the founder and leadership team with calendar management, scheduling meetings, organizing travel, and coordinating event‑related logistics. Responsibilities include preparing and processing expense reports, tracking invoices, and maintaining accurate records of purchases and reimbursements. The role will manage email and phone correspondence, draft and edit documents, and help prepare presentations and client‑facing materials. The Executive Assistant will also maintain digital and physical filing systems, support vendor and client communication, and handle ad hoc administrative projects to keep operations running smoothly. Qualifications Strong Executive Administrative Assistance and Administrative Assistance skills to manage calendars, meetings, and daily office operations. Experience with Executive Support, including handling confidential information, prioritizing tasks, and anticipating leadership needs. Proficiency in preparing and reconciling Expense Reports and basic financial tracking. Excellent Communication skills, both written and verbal, for interacting with internal stakeholders, clients, and vendors. Comfort with productivity tools (e.g., Google Workspace or Microsoft Office), task/project management platforms, and digital filing systems. Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced, event‑focused environment. Ability to work on‑site in Los Angeles, CA, with occasional evening or weekend availability aligned to event schedules. Previous experience in events, hospitality, entertainment, or wellness environments is a plus. High level of professionalism, reliability, and discretion when handling sensitive information.
