The Billing Specialist plays a key role in ensuring accurate, timely invoicing and financial documentation across multiple construction projects. The Billing Specialist plays a key role in ensuring accurate, timely invoicing and financial documentation across multiple construction projects. This role requires strong attention to detail, excellent communication skills, and the ability to collaborate with project managers, subcontractors, and clients. If you enjoy digging into the details and keeping financial processes running smoothly, this is a great opportunity!
Billing Specialist Responsibilities:
- Prepare and issue accurate invoices for construction projects, including progress billings, T&M billing, and final invoices
- Review contracts, change orders, and project documentation to ensure billing aligns with terms and scope
- Track and reconcile job costs, labor hours, materials, and subcontractor charges
- Maintain billing schedules and ensure timely submission of pay applications
- Work closely with project managers to verify percent-complete, retainage, and billing milestones
- Monitor accounts receivable and follow up on outstanding payments
- Process lien waivers, certificates of insurance, and other required documentation
- Assist with month-end closing activities and financial reporting
- Maintain organized digital and physical billing records
- Support the accounting team with additional tasks as needed
- 2+ years of billing or accounting experience; construction industry experience strongly preferred
- Familiarity with AIA billing, progress billing, and construction contract structures
- Proficiency with ERPE Systems
- Strong Excel skills and comfort working with spreadsheets
- Excellent attention to detail and organizational skills
- Ability to manage multiple deadlines in a fast-paced environment
- Strong communication skills and a collaborative mindset
