Payroll Clerk

About the Role:

The Payroll Clerk plays a critical role in ensuring accurate and timely processing of employee payroll within the transportation and warehousing industry. This position is responsible for maintaining compliance with all applicable regulations, including the Affordable Care Act (ACA), and managing detailed payroll records. The Payroll Clerk will handle data entry tasks related to payroll, process invoices, and perform bank reconciliations to support financial accuracy. Additionally, this role involves preparing journal entries and maintaining the general ledger to ensure proper accounting of payroll transactions. The Payroll Clerk also supports employee leave management, including Family Medical Leave, to ensure adherence to company policies and legal requirements.

Minimum Qualifications:

• High school diploma or equivalent required; associate degree or higher in accounting or related field preferred.
• Proven experience in payroll processing or accounting within a transportation or warehousing environment.
• Strong knowledge of ACA compliance requirements and payroll regulations.
• Proficiency in data entry and experience with general ledger and journal entries.
• Familiarity with bank reconciliation processes and payroll software systems.

Preferred Qualifications:

• Experience with Family Medical Leave Act (FMLA) administration.
• Advanced proficiency in accounting software such as QuickBooks or SAP.
• Certification in payroll management (e.g., Certified Payroll Professional).
• Experience working in a fast-paced transportation or logistics company.
• Strong analytical skills and attention to detail.

Responsibilities:

• Process and verify employee payroll data accurately and on schedule.
• Ensure compliance with ACA regulations and maintain related documentation.
• Perform data entry for payroll transactions, invoices, and related financial records.
• Prepare and post journal entries to the general ledger related to payroll activities.
• Conduct bank reconciliations to verify payroll disbursements and resolve discrepancies.
• Manage records and documentation for Family Medical Leave and other employee leave programs.
• Collaborate with HR and finance teams to resolve payroll discrepancies and inquiries.
• Maintain confidentiality and security of payroll information at all times.
