CLIENT INTAKE SPECIALIST

First impressions matter – and at Bast Amron, you’ll be the one who makes them. We’re looking for a Client t Intake Specialist to be the welcoming, organized, and sharp first point of contact for every prospective client who reaches out to our firm. This isn’t a back-office role. You’ll work closely with our Founding Partners and firm leadership, help shape how we welcome new clients, and play a real part in supporting a growing, ambitious law firm. This is a full-time, in-office position based in our Miami office. Why You’ll Love It Here A front-row seat to firm leadership – direct, regular exposure to our Founding Partners and Chief Operating Officer Room to make the role your own – help shape and improve our intake process, not just follow one A collaborative, values-driven culture built on accountability, integrity, and teamwork Real variety – no two days look the same, spanning client experience, firm operations, and events A growing firm where initiative gets noticed What You’ll Do Create an Exceptional Experience Be the friendly, professional first voice prospective clients hear from our firm Guide inquiries from first contact through engagement, coordinating conflict checks, attorney consultations, and follow-up communications Prepare engagement letters and new matter documentation once attorneys give the green light Keep the firm’s practice management system accurate, complete, and up to date Track every prospective matter and keep things moving with proactive follow-up Spot ways to make our intake process faster, smoother, and more client-friendly – and help track the metrics that prove it Support Firm Operations Jump into firmwide initiatives and special projects Help coordinate meetings, retreats, trainings, and internal events Keep deadlines and operational action items on track Provide direct support to our Founding Partners and COO – calendars, meeting logistics, and more Step in as backup for the Front Desk Coordinator when needed Lend a hand to attorneys and staff wherever the day requires What We’re Looking For Experience in client intake, legal administration, office operations, or administrative support – law firm or professional services background a plus A knack for juggling multiple priorities without dropping the details Excellent written and verbal communication skills Good judgment, professionalism, and the discretion to handle confidential information Advanced proficiency with Microsoft Office: Outlook, Word, Excel, and PowerPoint Bonus points for legal practice management software experience and bilingual English/Spanish skills Why Bast Amron Bast Amron was built to be a different kind of law firm, one grounded in collaboration, accountability, integrity, and genuine client service.
