Document Specialist

Job Description

Assist attorneys, case managers and paralegals with reception, document control and various clerical and computer operations.

  • Answers overflow telephone calls
  • Provides front desk coverage
  • Serves as backup to the Intake department when necessary
  • Scans and categorizes all documents in SmartAdvocate according to firm standards
  • Retains mail for a designated holding period and shreds thereafter
  • Ensures mail is delivered to the post office before the last pickup
  • Maintains office supply inventory
  • Assists with overflow translation projects
  • Performs other assigned responsibilities
  • Organizes and maintains the file/supply room
  • Generates SmartAdvocate reports
  • Prepares discovery shells
  • Responds to objections to subpoenas

Skills & Qualifications

  • High School Diploma or equivalent required; College Degree preferred
  • Minimum of 1 year of experience in an office, preferably handling large volumes of documents
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and Adobe Acrobat (Required)
  • Must have a valid Driver’s License with a satisfactory driving record and be able to meet the physical demands of the position, including sitting for extended periods, typing, occasional lifting (up to 25–30 lbs), and walking
  • Bilingual (English/Spanish) required
