Duxbury Beach Reservation, Inc. (DBR) Location: Duxbury, MA (Hybrid / In-Office) Position Type: 30 hours/weekCompensation: $45,000 - 55,000 / year (depending on experience) About Duxbury Beach Reservation Duxbury Beach Reservation, Inc. (DBR) is a 501(c)(3) non-profit organization that owns and preserves 4.5-miles of Duxbury Beach. Our core mission focuses on three primary pillars: preserving the landform as a buffer against coastal storms, protecting the local ecology (including critical habitats for endangered and threatened species), and maintaining public access to the shore. Operating as a mission-driven, highly collaborative team, DBR works continuously with local town departments, environmental agencies, and project partners to ensure the resilience and longevity of this vital coastal ecosystem. Position Summary DBR is seeking an organized, proactive, and detail-oriented Office Manager to serve as the operational backbone of our organization. This 30-hour-per-week role handles a broad spectrum of operational needs, including bookkeeping support, merchandise sales tracking, compliance tracking, database management support, and office equipment and technology. The ideal candidate enjoys working in a small, collaborative nonprofit team, has strong bookkeeping foundations, and can efficiently navigate multiple software platforms. Key Responsibilities Financial, Bookkeeping & Compliance Support
- AP/AR: Handle mail, deposits, and vendor/partner relations, including quotes, billing, and invoicing.
- Budgeting: Collaborate with leadership to develop and monitor the annual budget.
- Liaison: Serve as the lead contact for external bookkeepers and HR consultants.
- Audit & Reporting: Coordinate with auditors and assist in preparing financial and trustee reports.
- Compliance: Manage insurance, legal filings, agreements, and non-profit tax documentation.
- Payroll & HR: Support payroll and onboarding; manage insurance; maintain safety policies, the employee handbook, and CORI/SORI data.
- Sales & Fulfillment: Oversee purchasing, inventory, and shipping for all DBR merchandise and PR items.
- Tax Compliance: Manage state sales tax filings for merchandise.
- Database Management: Assist with databases for outreach, events, and fundraising efforts.
- Office Administration: Maintain and improve internal administrative systems.
- Purchasing & Maintenance: Buy and manage software licenses, technology, and general supplies.
- Experience: 4+ years in bookkeeping and office management; nonprofit experience preferred.
- Education: College degree preferred.
- Financial Literacy: Strong understanding of bookkeeping and accounting, ideally with QuickBooks Online.
- Software Skills: Proficient in Google Workspace and Microsoft Office; experience with PayPal, Square, Canva, or MailChimp is a plus.
- CRM Knowledge: Familiarity with CRM tools (especially Bloomerang) and a high aptitude for learning new technology.
- Communication & Ethics: Excellent communication skills and a proven ability to handle sensitive records with total confidentiality.
