Client Services Associate

In this highly visible role, you will serve as the first point of contact for our clients, helping deliver the outstanding service and personalized attention that define our firm. Working closely with Financial Advisors, you will support daily operations, strengthen client relationships, and help ensure a seamless client experience from start to finish. Key Responsibilities Client Service & Relationship Management Greet clients and visitors with professionalism and warmth. Answer and direct incoming phone calls while providing exceptional customer service. Build strong client relationships through proactive communication and support. Respond to routine client requests, including account documentation, statement copies, forms, and withdrawal requests. Schedule and coordinate client appointments, including in-person, phone, and virtual meetings. Conduct appointment reminder calls and follow-up communications. Administrative & Operational Support Assist Financial Advisors with day-to-day administrative functions. Process, scan, and maintain electronic client records and account documentation. Manage incoming and outgoing mail and document distribution. Track Required Minimum Distributions (RMDs) and assist with client communications. Maintain advisor licensing, continuing education, and insurance tracking requirements. Identify opportunities to improve office efficiency and streamline processes. Support special projects and additional duties as assigned. Team & Organizational Support Prioritize and manage multiple tasks while meeting deadlines. Maintain confidentiality and accuracy when handling sensitive client information. Contribute to a collaborative, client-focused office environment. Qualifications Preferred Qualifications Associate's or Bachelor's degree in Business, Finance, Communications, or a related field. Relevant industry knowledge in banking or financial services. Skills & Experience Exceptional customer service and interpersonal skills. Strong organizational skills with excellent attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong verbal and written communication skills. Proficiency with Microsoft Office (Outlook, Word, Excel, and Teams). Ability to work independently while supporting a team. Interest in learning about financial services, investment products, and industry regulations.
