Human Resources Assistant

Job Summary

We are seeking a detail-oriented and professional Human Resources Assistant to join our team. The Human Resources Assistant plays a key role in supporting daily office operations by providing administrative assistance, greeting visitors, answering phones, processing mail, and maintaining accurate records. Responsibilities

• Answer and direct incoming telephone calls to the appropriate personnel.
• Place callers on hold, transfer calls, and accurately take and relay messages.
• Welcome visitors, determine the purpose of their visit, and notify the appropriate team members.
• Receive, sort, date-stamp, and distribute incoming mail.
• Prepare and process outgoing mail, including applying proper postage and maintaining the postage meter.
• Perform general clerical duties including typing, filing, copying, scanning, and data entry.
• Create and maintain spreadsheets, reports, graphs, and presentations using Microsoft Office programs such as Word, Excel, Access, and PowerPoint.
• Assist with administrative projects and provide clerical support to multiple departments as needed.
• Maintain organized records and ensure confidential information is handled appropriately.
• Keep the office and work area clean, organized, and in compliance with company safety policies.
• Provide administrative support to ensure the efficient operation of the office.

Qualifications

• Previous administrative, receptionist, or office support experience preferred.
• Proficiency with Microsoft Office, including Word, Excel, Access, and PowerPoint.
• Excellent verbal and written communication skills.
• Strong organizational skills with exceptional attention to detail.
• Ability to multitask and prioritize responsibilities in a fast-paced environment.
• Professional demeanor with outstanding customer service and interpersonal skills.
• Ability to maintain confidentiality and exercise good judgment.
