AV Procurement Assistant

AV Pros NY

AV Pros NY is a leading provider of integrated audiovisual solutions for commercial, educational, and corporate environments. We specialize in the deployment of cutting-edge technology and highly integrated AV systems, and we are seeking a detail-oriented AV Procurement Assistant to support our purchasing, logistics, and project operations teams.

The ideal candidate will have experience in procurement, purchasing, inventory management, vendor coordination, and administrative support while working closely with project managers, engineers, vendors, and warehouse personnel to ensure timely and accurate project delivery.

Responsibilities:

Procurement & Purchasing

• Assist with sourcing AV equipment, materials, and services from approved vendors and manufacturers

• Create and process purchase orders in accordance with company procedures

• Request and compare vendor quotations to obtain competitive pricing

• Track order status and ensure timely delivery of equipment and materials

• Coordinate with vendors regarding lead times, product availability, pricing, and shipping schedules

Vendor & Supplier Management

• Maintain positive relationships with vendors, suppliers, and manufacturers

• Assist with vendor onboarding and documentation requirements

• Resolve order discrepancies, damaged shipments, and backorder issues

• Maintain accurate vendor records and pricing databases

• Support negotiations and purchasing strategies to maximize cost savings

Inventory & Logistics Support

• Monitor inventory levels and assist with stock replenishment

• Coordinate incoming and outgoing shipments with vendors and freight carriers

• Maintain accurate records of equipment received, shipped, and allocated to projects

• Support warehouse and project teams with material requests and deliveries

• Assist in organizing inventory and tracking company assets

Documentation & Administrative Support

• Maintain procurement records, purchase orders, invoices, and receiving documents

• Assist with updating equipment lists, BOMs, and project procurement trackers

• Support project managers with procurement reporting and budget tracking

• Ensure all procurement documentation is accurate and properly filed

• Assist with administrative tasks related to purchasing and project support

Skills We Are Looking For:

• Experience in procurement, purchasing, inventory control, logistics, or administrative support

• Strong organizational and time management skills

• Excellent written and verbal communication skills

• Proficiency in Microsoft Excel, Word, Outlook, and other Microsoft Office applications

• Ability to manage multiple priorities and deadlines

• Strong attention to detail and accuracy

• Ability to work collaboratively with vendors, project managers, engineers, and warehouse personnel

• Experience with ERP, procurement, or inventory management systems is a plus

• Basic understanding of audiovisual, low-voltage, construction, or technology industries is a plus

• Strong problem-solving and decision-making abilities

Certifications We Want to See:

• Procurement or Supply Chain certifications are a plus

• Inventory Management training is a plus

• Microsoft Office certifications are a plus

• APICS, CPSM, CPPB, or related certifications are a plus

• AV industry-related training or certifications are a plus

Requirements:

• Working from office place located in Hicksville NY

• Hours are 9:00 am to 5:30 pm Monday-Friday

• Adhere to all company policies and procedures

• Abide by company code of conduct explained in company handbook
