In this hands-on role, you will support executive search execution across Flagship and its portfolio companies, with a strong focus on back-end AI-focused operations, such as template creation for reporting and content support. The ideal candidate is highly proactive, organized, detail-oriented, and comfortable using AI-enabled tools to build and refine recruiting materials, streamline documentation and enable workflows to move with precision and urgency.Key ResponsibilitiesRecruiting operations & coordinationSupport day-to-day search execution by creating, maintaining and updating materials and internal documentation using AI-forward tools and workflowsCreate and refine templates for job descriptions, status updates, candidate reports, debrief materials, and other executive search documents to ensure consistency across recruitment-related projectsPartner with recruiters to keep workstreams organized and efficient, action items clear, and deadlines on trackMaintain accurate, up-to-date records and candidate data to support consistent project management and execution across active searchesEnsure accurate and timely entry of candidate data, search activity, and status updates in Greenhouse ATS to maintain data integrity for current and future recruitment and pipelining effortsAI-Enabled ExecutionUse AI-enabled tools to improve speed, quality, and consistency of routine search operations, template development, reporting, and written communicationApply new tools and techniques to strengthen workflow organization, summarization, and documentationStay current on internal Flagship priorities and business needs that affect executive search and talent acquisition workflowsReporting, Data, and Workflow SupportLeverage AI-enabled tools and templates to build and maintain dashboards, trackers, and recurring reporting that provide actionable insights into executive search activity, candidate pipelines, and search progress. Prepare client-ready candidate summaries, search updates, and other documentation to support assessment and decision-makingIdentify opportunities to reduce manual work and improve process efficiency through better use of systems, templates, and automationInternal Stakeholder SupportProactively communicate and provide professional support to internal stakeholders throughout the executive search life cycleSupport a high-touch internal experience by ensuring accurate information, timely follow-up, and smooth workflow execution.Maintain confidentiality and discretion at all timesRequired Qualifications2+ years of experience in recruiting coordination, executive search support, talent operations, or a related administrative roleBachelor's degree requiredComfortable using AI-enabled tools to update trackers, maintain documentation, and support operational workflowsStrong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPointExperience with Greenhouse or a similar applicant tracking systemExcellent organizational skills and meticulous attention to detailExceptional written and verbal communication skillsAbility to manage multiple priorities in a fast-paced, highly collaborative environmentHigh degree of integrity, discretion, and trustworthinessFluency in using data, dashboards, and reporting to track activity and surface insightsPreferred QualificationsExperience supporting executive search or senior-level recruiting in a matrixed organizationTrack record in project management including building reports or dashboards to track search activity and candidate movementDemonstrated ability to use AI tools to improve operational workflows and communicationStrong judgment, resourcefulness, and a proactive approach to solving problemsAbility to build credibility and engage effectively with a diverse range of stakeholders and audiences, including senior executivesEqual Opportunity EmployerFlagship Pioneering is an Equal Opportunity Employer. Compensation for the role will depend on a number of factors, including a candidate's qualifications, skills, competencies, and experience. Flagship Pioneering currently offers healthcare coverage, annual incentive program, retirement benefits and a broad range of other benefits.
