First Foundation Advisors is looking for an energetic, highly motivated individual to fill the full-time Wealth Management Portfolio Operations Manager position at our Irvine, CA Location.

The salary range for this position is $105,500 to $150,000 depending on knowledge, skills, abilities, experience, and location.

Summary

This position is responsible for project management to successfully convert and implement a new suite of portfolio operations technology. Ongoing management of portfolio operations, including reconciliation, pricing, account performance measurement, quarterly client reporting, and engagement with vendors. This position has direct supervisory responsibilities.

Primary Responsibilities

• Lead and manage the Portfolio Operations team, providing oversight for alternative investment operations, reconciliations, corporate actions, security pricing, account-level performance measurement, quarterly client reporting, and vendor management.
• Direct the resolution of data integrity issues, workflow inefficiencies, and reporting enhancements while fostering a culture of accountability, collaboration, and continuous improvement.
• Manage the full operational lifecycle of alternative investments, including subscription documentation, onboarding, capital calls, distributions, redemptions, reconciliations, valuation reviews, and investor reporting.
• Serve as the Portfolio Operations lead on project teams for the implementation, conversion, enhancement, or upgrade of technology platforms and software applications impacting operations.
• Partner with cross-functional project teams to define business requirements, success criteria, resource needs, and risk assessments, ensuring project milestones and deliverables are achieved on schedule.
• Lead the design, implementation, and continuous improvement of Portfolio Operations workflows, systems, and applications, including platforms such as Practifi, Orion, Subscribe Platform, and Canoe Intelligence.
• Support enterprise technology initiatives, workflow redesigns, and automation efforts that strengthen operational controls, improve scalability, and enhance data integrity.
• Establish and maintain standardized reconciliation procedures and operational controls to improve reporting accuracy and mitigate operational risk.
• Develop, maintain, and enhance operational procedures that support SEC compliance, fiduciary standards, internal controls, audit readiness, and enterprise risk management.
• Partner with auditors and risk management teams to oversee the development, review, and monitoring of risk and control reporting.
• Ensure adherence to all applicable laws, regulations, compliance programs, and organizational policies.
• Complete and ensure completion of all required compliance and assigned training by established deadlines.
• Collaborate with Trading, Account Services, Billing, Client-Facing Teams, Trust Department personnel, and other stakeholders to optimize operational workflows and data management processes.
• Coordinate with third-party vendors and service providers to resolve operational issues, improve service delivery, and support business objectives.
• Oversee the daily review and resolution of custodial and trust-related operational issues.
• Perform final review and approval of month-end reconciliation processes, ensuring accuracy, completeness, and timely resolution of exceptions.
• Responsible for the production of monthly Assets Under Management (AUM) reports for the Finance team and other operational reporting as required.
• Mentor, train, and develop team members by sharing industry knowledge, operational best practices, and system expertise through both on-site and remote training programs.
• Perform other duties and special projects as assigned.

Education / Experience

• High School diploma or equivalent required; higher degree preferred
• Minimum of 7 to10 years of experience in investment management operations 
• General knowledge of investment management and finance. Familiarity with security types in which FFA invests 
• Well organized – ability to design and implement successful project plans
• Ability to work independently and think creatively
• Proficiency with Microsoft Office, as well as technology applications used in an investment operations setting (i.e., Orion, Subscribe Platform, Practifi, & Bloomberg, etc.)
• Excellent verbal/written communication skills with the ability to effectively communicate with all levels of personnel
• Self-motivated, detail-oriented team player
• Must be bondable.

Working Conditions

The physical demands of this position require the ability to perform essential job functions with or without reasonable accommodation. Employees may spend extended periods sitting or standing, using hands to operate computers or other equipment, and reaching for work-related tasks. Regular walking may be required, along with occasional bending, stooping, kneeling, or climbing. The role may involve lifting or moving items weighing up to 10 pounds. Vision requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.
