Office Assistant

Role Description The Office Assistant is a full‑time, on‑site role based in Charlotte, NC, Monday – Friday (8:00 AM – 5:00 PM with a 1-hour lunch (12pm – 1pm)). Construction experience preferred but not necessary. The Office Assistant will be responsible for a wide range of day‑to‑day administration requirements to ensure a functional and efficient office environment. This position will support administration, operations, accounting, human resources, and provide general administrative assistance to the project sites when necessary. Must have a strong work ethic, able to handle a fast‑paced work environment, and manage multiple tasks at once (this is a MUST). Responsibilities Meets and greets all visitors in a positive, friendly manner Notifies company personnel of visitor’s arrival while ensuring all visitor’s sign in Provides primary phone support, answering all incoming calls and queries and transferring to appropriate parties Preparing, organizing, uploading, and storing information in paper and digital form. Maintain inventory of office supplies Prepares and schedules pickups for shipments Typing and editing proposals Data Entry Manage and sort incoming and outgoing mail ensuring all A/P invoices are stamped, and coded appropriately Requirements Previous experience as a Receptionist, Front Office Representative, or similar role Prior use and knowledge of Microsoft Office Suite and Adobe Acrobat (Office 365 experience preferred, must have experience with Microsoft Word and Excel) Hands‑on experience with office equipment (i.e., fax machines, printers, and postage machines) Ability to work independently as well as a member of a team Professional interaction with all levels of staff within the organization Polite and professional manner always Professional attitude and appearance Detail Oriented Dependability – This position requires being reliable, responsible, and dependable. Attention to Detail – This position requires being careful about detail and thorough in completing tasks. Integrity – This position requires being honest and ethical. Self‑Control – This position requires maintaining composure, even in challenging situations. Cooperation – This position requires being pleasant with others and displaying a good‑natured, cooperative attitude.
