Property Management Administrative Assistant

WC Smith is seeking an Administrative Assistant to join our team at Washington View Apartments ! The Administrative Assistant is responsible for providing exemplary customer service to guests and residents and for assisting the management office with administrative and maintenance tasks in accordance with the goals, policies and procedures. In addition, Administrative Assistant are responsible for recording all resident issues.
PRIMARY RESPONSIBILITIES:
• Greet prospects and residents
• Respond to routine inquiries and provide property information as needed
• Answer the phone and take telephone messages for team members as needed
• Manage the Property Manager's calendar, scheduling appointments
• Assist with the preparation of the property schedule, including community events, the office schedule, and contractors' schedules
• Order supplies for the office and the maintenance shop
• File, draft, and send out notices to residents
• Enter prospect and resident information into Yardi
• Collect and process rental applications
• Write rent receipts for residents
• Conduct tours and move-in inspections
• Demonstrate an understanding and commitment to fair housing, equal employment, and racial/ethnic diversity policies at all times
• Communicate effectively with team members, residents, prospects, and the property manager
• High school diploma or equivalent required
• At least two years of customer service and administrative experience
• At least two years of experience in Property Management
• Prior Yardi experience preferred
• Professional demeanor and appearance are required in this role
• Proficiency with MS Office applications (Outlook, Word, and Excel software)
• Excellent organizational skills, with ability to work under limited supervision while maintaining a high degree of accuracy and production
• Superb customer service orientation and effective oral and written communication skills, along with a positive and professional attitude
