Senior Executive Scheduler
The Senior Executive Scheduler provides dedicated executive scheduling and time management support to Pension Benefit Guaranty Corporation (PBGC) senior leadership. The Senior Executive Scheduler functions as a trusted operational partner responsible for ensuring executive time is aligned with mission priorities, statutory responsibilities, governance obligations, and decision requirements. The employee is accountable for the accuracy, coordination, preparedness, confidentiality, and strategic alignment of the executive calendar. Responsibilities include proactive management of scheduling activities, protection of priority time, anticipation of conflicts, and independent execution of routine scheduling determinations consistent with established guidance.
Responsibilities
- Service Accountability
- Owns executive scheduling services end-to-end, with accountability for outcomes, follow-through, and resolution.
- Ensures tasks are actively managed to completion with appropriate visibility, handoff, or leadership awareness.
- Resolves routine scheduling and operational decisions independently without unnecessary executive intervention.
- Core Responsibilities
- Manages and controls the executive calendar, including scheduling, rescheduling, cancellations, and alignment with mission priorities.
- Applies executive-approved prioritization principles to evaluate, accept, defer, decline, or redirect requests.
- Protects strategic focus time and enforces calendar discipline.
- Assesses requests based on urgency, mission impact, readiness, decision authority, and appropriate executive involvement.
- Ensures meetings are purposeful, properly staffed, and adequately prepared prior to confirmation.
- Coordinates closely with executives, Chiefs of Staff, senior advisors, and internal and external stakeholders.
- Anticipates conflicts and demand by maintaining awareness of executive priorities, key initiatives, and critical deadlines.
- Recommends consolidation, delegation, sequencing changes, or alternate formats to improve efficiency.
- Professionally challenges requests that do not meet prioritization standards.
- Builds buffers around high-impact or decision-critical engagements.
- Handles sensitive and high-visibility matters with discretion and sound judgment.
- Escalates issues only when executive direction or policy interpretation is required.
- Tracks scheduling activity and trends, providing insights to improve executive time utilization.
- Forward Planning
- Reviews forward schedules and workload projections to identify risks, conflicts, or preparation gaps.
- Takes preventive action to resolve issues through resequencing, coordination, resource adjustments, or escalation as needed.
- Builds preparation time and operational buffers around high-visibility or decision-critical activities.
- Notifies designated leadership promptly when capacity constraints or performance risks are anticipated.

- Exercises strong judgment in managing sensitive, high-visibility, or time-critical matters.
- Safeguards confidential, pre-decisional, and privacy-sensitive information.
- Resolves routine matters independently and elevates issues involving policy, legal, or reputational risk.

- Reporting
- Provides routine reporting to support transparency, executive awareness, and continuous improvement of time-management practices as part of regular program or management reporting.
- Immediate Notification
- Promptly alerts supported executives or designated contacts to schedule risks, priority conflicts, preparedness gaps, or mission impacts.
- Escalates issues when they may affect performance, staffing capacity, or operational risk.
- Executive Scheduler Deliverables
- Weekly Snapshot: Two-week outlook highlighting conflicts, priority pressures, pending confirmations, preparation gaps, and items requiring leadership awareness.
- Monthly Performance Report: Summary of scheduling activity, trends impacting executive capacity, protected focus time, inefficiencies, and recommended adjustments.
- Quarterly Advisory: Analysis of calendar utilization, compression risks, and opportunities to improve alignment with mission priorities, including recommended process or structural improvements.
- Other duties as assigned.
Qualifications
- Associate's degree in business administration, Management, Communications, Public Administration, or a related field (or equivalent combination of education and experience).
- 5+ years' experience supporting C-suite, SES-level, or equivalent senior executives, including complex calendar management for high-volume, high-visibility environments.
- Strong understanding of executive prioritization, time management, and confidentiality requirements in a federal or highly regulated environment.
- Experience coordinating with Chiefs of Staff, senior advisors, government leaders, interagency partners, and external stakeholders.
- Proficiency with Microsoft Outlook and Microsoft 365 tools, including advanced calendar management, scheduling coordination, and reporting.
- Public Trust clearance/Willingness and ability to comply with PBGC fitness determination requirements, background checks, and required training.
Preferred Qualifications:
- Bachelor's degree in business administration, Management, Communications, Public Administration, or a related field (or equivalent combination of education and experience).

- Exceptional written and verbal communication skills, with the ability to communicate professionally with senior leadership and represent the organization appropriately.

- Ability to anticipate conflicts, identify risks early, and take proactive action to protect executive priorities and mission commitments.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
