To support our ambitious growth plans, we are seeking a highly motivated and detail-oriented Payroll Specialist to join our team. About the Role In this role, you will play a crucial part in ensuring the smooth and efficient functioning of our business operations. Working closely with our Director of Operations, you will optimize processes, manage projects, and implement strategic initiatives that directly support Spero’s growing federal and commercial professional services practices. This is a high-impact opportunity to own end-to-end payroll, accounts receivable, and accounts payable workflows for a fast-paced, mission-focused organization, while gaining broad exposure to finance, operations, and compliance. You will serve as a trusted partner across the business — ensuring employees and consultants are paid accurately and on time, vendors are managed effectively, and operational data is translated into actionable insights for leadership. Key Responsibilities Payroll Management: Oversee the end-to-end payroll process, ensuring accurate, timely, and compliant payments to employees and consultants. Manage payroll cycles, deductions, tax withholdings, and reporting in accordance with all federal, state, and local regulations. Accounts Receivable: Manage the accounts receivable process, including client invoicing, collections follow-up, cash application, and aging analysis. Partner with delivery and sales leadership to resolve billing discrepancies and ensure timely payment from clients. Accounts Payable: Own the accounts payable process, including vendor invoice intake, approvals, payment scheduling, and reconciliation. Ensure obligations are paid accurately and on time while preserving healthy cash flow. Compliance & Documentation: Ensure compliance with all relevant payroll, tax, and financial regulations. Maintain organized, audit-ready documentation of processes, policies, and transactions to support internal reviews and external audits. Process Optimization: Identify inefficiencies in existing payroll, AR, AP, and operations workflows. Propose and implement improvements that enhance productivity, reduce operational cost, and strengthen financial controls. Continuous Improvement: Stay current on industry best practices, payroll regulations, and finance and operations trends. Proactively suggest tools, technologies, and process enhancements that improve operational efficiency and effectiveness. Data Analysis & Reporting: Analyze payroll, AR, AP, and operational data to generate reports and dashboards that surface insights for leadership. Translate data into recommendations that support decision-making and forecasting. Vendor Management: Maintain strong relationships with key vendors, negotiate contracts and terms, and ensure that goods and services delivered meet quality standards and budget expectations. Cross-Functional Collaboration: Partner with the Director of Operations, Recruiting, Sales, and Delivery teams to ensure a seamless flow of information across hiring, onboarding, payroll, and client billing — supporting a smooth experience for employees, consultants, and clients alike. Qualifications Education: Bachelor’s degree in Business Administration, Accounting, Finance, or a related field is preferred. Equivalent professional experience will be considered. Experience: 3+ years of relevant experience in payroll, business operations, accounting, finance, or a related role is preferred. Experience in professional services, staffing, or a multi-state payroll environment is a strong plus. Analytical Skills: Strong analytical and problem-solving skills, with the ability to interpret financial and operational data and translate it into clear, actionable insights. Communication Skills: Excellent communicator with strong interpersonal skills. Able to build trust with employees, consultants, vendors, and leadership across the organization. Tools: Proficiency in Microsoft Office Suite (especially Excel) and project management tools. Experience with payroll, ERP, or accounting platforms (e.g., ADP, Paychex, QuickBooks, NetSuite, or similar) is highly valued.
