** Accounts Receivable Specialist **

** Position Summary **

The Accounts Receivable Specialist is responsible for managing customer invoices and ensuring the timely and accurate submission of invoices through customer-specific billing portals. This role monitors invoice statuses daily, follows up on outstanding invoices, and resolves discrepancies or billing issues that may delay payment. Also responsible for retrieving remittance information and accurately applying cash receipts to customer accounts. The position works closely with customers and internal departments to ensure prompt payments.

Key Responsibilities

** Invoice Processing and Portal Management **

• Review customer invoices submitted through billing portals daily, including Coupa, Ariba, Jaggaer, and other customer-specific platforms.
• Monitor invoice status within customer portals and resolve submission errors, rejections, and discrepancies.
• Follow up on pending approvals and outstanding invoice statuses to ensure timely payment processing.
• Ensure compliance with customer billing requirements.
• Maintain accurate records of invoice submissions and supporting documentation.

** Cash Application **

• Apply customer payments accurately and in timely to the appropriate invoices and accounts.
• Research and resolve unapplied cash, short payments, overpayments, deductions, and payment variances.
• Reconcile customer payments against deposits and remittance advice.
• Investigate payment discrepancies and coordinate resolution with customers and internal departments.
• Assist with accounts receivable daily postings, reconciliations, and month-end closing activities.

Preferred Skills and Qualifications

• 1 to 3+ years of Accounts Receivable and Cash Application experience.
• Experience submitting invoices through customer billing portals such as Coupa, Ariba, Jaggaer, and similar platforms a plus.
• Strong attention to detail and accuracy.
• Proficiency in Microsoft Excel and Microsoft Office applications.
• Strong organizational and time-management skills.
• Ability to multitask and work effectively in a high-volume transaction environment.
• Excellent written and verbal communication skills.
• Strong problem-solving and analytical abilities.
• Ability to work independently while collaborating effectively with cross-functional teams.
