Corporate Receptionist

Job Description Job Description Front Desk & Guest Experience
Greet and assist employees, visitors, and candidates with a warm, professional presence
Manage guest check-in process, including badge access and notifications to hosts
Coordinate visitor logistics (room bookings, catering coordination, wayfinding)
Maintain a clean, organized, and welcoming reception area at all times
Workplace & Office Operations Support
Support day-to-day office needs including supplies, snacks, and common area upkeep
Assist with meeting room readiness (resets, basic AV checks, scheduling coordination)
Partner with Workplace on office events and employee experience activations
Monitor and restock kitchens, copy areas, and shared spaces
Light Facilities Coordination
Submit and track basic facilities requests (lighting, HVAC, janitorial, maintenance)
Act as an on-the-ground point of contact for vendors (cleaning, deliveries, repairs)
Conduct routine walkthroughs to identify and escalate issues proactively
Help maintain workplace standards for safety, cleanliness, and organization
Basic IT / AV Troubleshooting
Escalate technical issues to IT or AV when needed, ensuring proper follow-through
Administrative Support
Manage incoming mail, packages, and deliveries
Support scheduling and coordination for small meetings or onsite activities
Maintain internal documentation and workplace guides as needed
What You Bring
2 to 4+ years of experience in reception, office coordination, or workplace support
Strong customer service mindset with excellent communication skills
High attention to detail and ability to stay organized in a fast-paced environment
Proactive problem-solver who takes initiative and ownership of tasks
Comfortable with basic AV/IT troubleshooting or willingness to learn
Ability to multitask and prioritize effectively
Must be proficient in English, both spoken and written
Reliable transportation to the Downtown San Jose area and ability to pass a background check
Nice to Have
Experience supporting a high-visibility or executive-facing office
Familiarity with workplace tools (badge systems, room booking platforms, ticketing systems)
Experience coordinating vendors or facilities requests
Bilingual proficiency in a second language
This is a full-time, Monday through Friday role with biweekly pay and training provided. Qualified candidates will be contacted within 24 hours.
