We have a new opportunity for a skillful Administrative Specialist to provide administrative and operational support to a leader and team in a fast-paced, fun and collaborative environment. In this role, you will partner closely with administrative professionals across the organization, coordinate very heavy and detailed schedules, event planning and logistics, and help ensure smooth execution of calendar activities and business support. Success requires excellent organizational skills, strong judgment, a high level of attention to detail and judgement, and a proactive, service-oriented approach. This new opportunity is based 100% onsite with our team at our Austin, TX headquarters. THE PERSON: You have significant experience navigating a complex diverse environment and are comfortable interacting with employees of all levels. To be successful, you will need exceptionally strong organizational and multi-tasking skills, high level of confidentiality, and the ability to gather information and make decisions independently. Being proactive and anticipating the needs of the senior leaders is essential as you prioritize time, schedules, inquiries, and information. KEY RESPONSIBILITIES:

- Calendaring of senior leader level meetings and appointments, with deep and current understanding of the leaders' schedules for effective prioritization as required
- Manage & coordinate travel schedule and reservations
- Handle expense reports and submissions as required
- Drive team organization by maintaining shared trackers, distribution lists, and team resources; help organize materials for staff meetings and reviews; and support consistent, well-documented execution of team routines.
- Order/maintain office supplies, laptops, and other items as needed by the team
- Support PO transactions and interface with supplier relations
- Assist/handle various tasks that might include driving issue resolution, create information repositories, build charts/spreadsheets
- Prepare responses or correspondence
- Direct inquiries or issues to relevant staff members
- Assist team with questions around facilities or relevant company policies
- Be proactive and collaborate with the team and others outside the team
- Direct work experience in administrative support for senior-level Engineering leaders
- Very highly organized; able to prioritize, manage multiple work streams, and meet deadlines in a dynamic environment
- Technology industry experience highly preferred
- Experience supporting extensive calendaring and dynamic meeting prioritization, and providing customer event support from planning stages through day-of logistics
- Experience coordinating meetings, travel, and expense reporting; strong attention to detail and comfort working with confidential information
- Strong written and verbal communication skills; ability to work independently as well as part of a team
- Highly collaborative, service-oriented team player who creates and maintains strong relationships to collaborate across organizations with administrators and partners and customers across geographies
- Ability to use a variety of sophisticated office automation tools and software, including proficiency in PowerPoint, Excel, Word, Teams, SharePoint, SAP and AI tools
- Demonstrated ability to exercise judgment and initiative with a high degree of flexibility and responsiveness
