FocusKPI is seeking an  Admin Specialist and Receptionist (Receptionist + EA)  to join one of our clients, a high-tech SaaS company. This position is for the Operations Management department within the client's company. 

Responsibilities:

• Reception Desk, Visitor Control, Physical Security Management, Planner, Team Player
• Welcome clients and visitors at the reception desk by greeting them with a positive attitude and handling necessary inquiries.
• Manage (register & instruct) and control visitors (physical escort & guide) until they leave.
• Manage daily visitor log
• Ensure that security guards are properly trained and understand company guidelines.
• Maintain a safe and clean reception area and conference rooms
• Support parking validation
• Ad-hoc including security alarm test
• Support office supplies, food & drinks requests, orders, receiving, and restocking.
• Handle shipments (Create lab/tracking/receiving)

Executive Assistant (EA): 

• Provide clerical support to the chief executive officer through tasks such as managing phone calls, answering emails, and sorting mail
• Book and manage travel arrangements for the executive team, including scheduling meetings and preparing detailed itineraries
• Create expense reports for various executive meetings and events by keeping all receipts

Qualifications:

• Senior level with excellent management and planning skills
• Minimum of 5 years of experience in an admin position/office Management/Event Planning, with EA experience is a plus.
• Education:  Minimum of Associate's or Bachelor's degree. Minimum of 5 years of experience with office administrative or EA experience
• Need to be a self-starter, highly motivated, and independent
• Strong problem-solving skills
• Strong communication skills
• Experience with Microsoft Word and Excel
• Experience in Customer Service, Event Planning, Supplies Management, Food Ordering & Snack Stacking
• Need to be Detailed Oriented
