Associate Administrator - Department of Medicine

Summary The Department of Medicine at Baylor College of Medicine is seeking an experienced Associate Administrator to serve as a senior operational leader within the department providing strategic, financial, and administrative oversight across clinical service lines at Harris Health. This role serves as the primary administrative liaison for the department with hospital leadership and represents the department in key meetings and committees. The Associate Administrator partners with Medical Directors to ensure efficient clinical operations, monitor performance, and implement growth strategies aligned with departmental and hospital priorities. Additionally, the Associate Administrator acts as an extension of the Department Administrator for assigned divisions, ensures consistent, high-quality administrative operations; strengthens leadership capability within divisions; and drives operational excellence, standardization, and continuous improvement. This role has significant influence on departmental performance, leadership effectiveness, financial sustainability, and the successful execution of the Department of Medicine’s clinical, research, and educational missions. Establishing an Associate Administrator role is a necessary and strategic investment to support the Department of Medicine’s size, complexity, and growth. The role strengthens leadership capacity, improves consistency and accountability, and allows senior departmental leadership to focus on strategy rather than day-to-day operational escalation. This position is essential to achieving sustainable administrative excellence across the Department’s clinical, research, and educational missions. This role is eligible to participate in an annual performance-based bonus program based on individual and organizational performance. Job Duties Administrative Leadership of Harris Health Service Lines (60%) Provide strategic and operational oversight for clinical service lines within Harris Health, ensuring alignment with departmental and institutional priorities. Serve as the primary administrative representative for the Department of Medicine at Harris Health meetings and committees. Identify operational challenges and implement solutions to improve efficiency, access, and overall service line performance. Collaborate with Medical Directors to support clinical operations, address day-to‑day operational issues, and implement improvement initiatives. Facilitate regular review of service line performance, including productivity, access, and operational metrics. Serve as an escalation point for complex issues impacting clinical operations. Support development and execution of service line growth plans in collaboration with departmental and hospital leadership. Ensure service lines operate in alignment with approved staffing plans and resource models. Support recruitment planning and onboarding efforts to meet operational needs. Monitor provider scheduling and staffing alignment to ensure efficient operations. Develop and maintain reporting tools to support performance monitoring and decision‑making. General Administrative Leadership (40%) Serve as an advisor and partner to the Department Administrator, Division Administrators, and Department Leadership on department‑wide administrative strategies and operational performance. Provide leadership, guidance, and performance oversight for assigned Division Administrators, ensuring accountability, professional development, and alignment with departmental priorities. Support assigned Division Administrators in translating departmental strategy into executable operational, financial, and workforce plans. Promote consistency and standardization in administrative practices, staffing models, and service delivery while accommodating division‑specific needs. Identify operational, financial, and compliance risks within Divisions and implement corrective actions or performance improvement initiatives. Lead or sponsor department‑wide initiatives focused on process improvement, standardization, analytics, and change management. Represent the department in cross‑functional and enterprise initiatives as assigned and act on behalf of the Department Administrator when delegated. Serve as an interim leader for divisions or functional areas during vacancies or leaves of absence. Perform other job‑related duties as assigned. Minimum Qualifications Bachelor’s degree. Five years of relevant experience including prior experience in a management role. Preferred Qualifications And Skills Master’s degree in a related field. Experience overseeing multi‑division or multi‑service‑line operations. Strong background in finance, research administration, or clinical operations within an academic health system. Strong strategic thinking and organizational acumen. Advanced financial and analytic skills. Excellent communication skills and executive presence. Ability to build trust, develop leaders, and foster collaboration across diverse stakeholders. Work Authorization Requirement This position is not eligible for visa sponsorship.
