The Department Administrator in the Department of Radiation Physics, Division of Radiation Oncology, is responsible for planning, directing, and implementing financial, personnel, operational, and research efforts. They coordinate all functional activities with the Department Chairman, Division Administrator, and other Directors.RESPONSIBILITIES
Plan, direct, and execute financial and operational functions within the department. Prepare, justify, and administer departmental budgets; develop financial reports and present clinical and research financial data. Maintain actual‑to‑budget reporting, capital equipment and asset management reporting, and audit sponsored research funding. Assist the Chairman in developing strategic plans and coordinate faculty recruitment, promotion, and salary administration. Oversee hiring, training, development, and evaluation of administrative personnel. Manage research functions, ensuring compliance with federal, state, and institutional regulations, and maintain budget for grants and contracts. Monitor and project future funding opportunities and pursue additional funding for research. Coordinate and develop clinical and laboratory research supporting department goals. Act as Asset Management Property Officer for assigned department codes. Lead special projects as directed by Division leadership. Develop and maintain information systems for research and department. Complete space and resource planning for research.KEY FUNCTIONS
Financial Administration Prepare, justify, and administer budgets, and maintain actual-to-budget reporting. Collaborate with division leadership to capture research efforts and expenditures. Report and control capital equipment and asset management. Review, monitor, submit, and audit sponsored research funding. Administrative Management Assist Chairman in strategic planning. Manage hiring, training, and evaluation of administration personnel. Coordinate faculty recruitment, promotion, salary administration, and support in the Office of Vice President for Academic Affairs. Engage with faculty on classified and education recruitment, promotion, visa issues, and salary administration. Oversee fiscal management, compliance, budget development, auditing/reconciliation, and capital budgets. Manage research grants and contracts, and maintain equipment repair and safety. Prepare financial and operational reports for federal/private grant funds. Monitor funding opportunities and engage physics and basic science faculty. Coordinate clinical and laboratory research, ensuring resource needs are met. Serve as Asset Management Property Officer for department codes. Project Management Initiate and complete special projects and studies as directed. Develop and maintain information systems for research and department. Plan research space and resources.QUALIFICATIONS
Seven years of progressive healthcare or research management experience, including three years in a managerial role; with a master’s degree, five years. Preferred experience in administrative leadership, people management, and operational workflows. Strong business acumen, strategic thinking, and ability to translate priorities to operational execution. High emotional intelligence, collaborative leadership, conflict management, and stakeholder trust building. Proficiency in preparing and administering departmental budgets and presenting financial data. Experience in academic medicine or healthcare, especially in research‑intensive environments. Must pass a pre‑employment skills test.OTHER INFORMATION
