Head of Executive Travel & Transportation

Location: Miami Beach, FL — Onsite

This is a full-time, onsite position in Miami Beach, FL with highly competitive six-figure compensation and outstanding benefits. This role is not remote or hybrid.

A highly sophisticated private investment organization is seeking an experienced Head of Executive Travel & Transportation for a newly created role dedicated exclusively to supporting a very high-profile principal. Reporting directly to the principal's Chief of Staff, this individual will have complete ownership of the principal's complex domestic and international transportation and travel logistics.

This is a senior, highly hands-on role combining strategic planning with tactical execution. Travel is primarily domestic and heavily private, including both air and ground transportation. The successful candidate must be exceptionally proactive and be able to anticipate needs, identify potential disruptions, and have backup and contingency plans in place before they are needed .

This position requires exceptional judgment, discretion, attention to detail, and the ability to anticipate needs and solve problems in real time. The i deal candidate has supported an ultra-high-net-worth individual, senior executive, government official, professional sports executive/owner, family office, or similarly high-profile principal in an exceptionally demanding environment.

Key Responsibilities

• Own all domestic and international travel and transportation logistics for the principal, with a significant emphasis on private aviation and executive ground transportation .
• Strategically plan complex travel while remaining highly hands-on in the day-to-day execution and coordination of every movement.
• Coordinate directly with private jet charter companies, aircraft operators, pilots/flight crews, FBOs, drivers, car services, rental vehicle providers, and other transportation partners.
• Anticipate potential disruptions and proactively establish backup and contingency plans to ensure seamless execution regardless of last-minute changes, weather, aircraft availability, mechanical issues, or other unexpected events.
• Maintain real-time awareness of the principal's schedule and ensure all transportation arrangements remain synchronized as plans evolve.
• Respond quickly and decisively to last-minute changes while ensuring alternative transportation options are already identified whenever possible.
• Develop and maintain a strong network of private aviation/charter and executive transportation relationships to provide reliable options, flexibility, and exceptional service.
• Manage relationships and service levels with aviation and transportation vendors.
• Manage one Executive Assistant supporting the principal's scheduling and logistics, establishing clear processes, expectations, and accountability.
• Operate with the highest degree of discretion and professionalism when handling sensitive travel, location, and personal information.

Qualifications

• Significant experience managing complex travel and transportation logistics for an ultra-high-net-worth individual, high-profile principal, C-suite executive, family office, senior government official, professional sports executive/owner, or similarly demanding individual .
• Extensive hands-on experience with private aviation, executive ground transportation, and complex domestic and international travel , ideally with established relationships across private jet charter companies, aircraft operators, and other aviation partners.
• Proven ability to combine strategic oversight with hands-on execution , managing multiple moving parts while maintaining exceptional attention to detail.
• Exceptionally proactive and anticipatory , with the ability to think several steps ahead, identify potential disruptions, and establish contingency plans before they are needed.
• Demonstrated ability to make sound decisions quickly and calmly in high-pressure, rapidly changing environments , with exceptional judgment, discretion, and professionalism.
• Strong relationship-building and vendor-management skills, along with experience managing or directing executive support personnel.
• Ability to work onsite full-time in Miami Beach and remain highly responsive outside traditional business hours, including evenings and weekends, as required by the principal's travel schedule.
• Bachelor's degree required.
