Head of Executive Travel & Transportation

Location: Miami Beach, FL — Onsite

This is a full-time, onsite position based in Miami Beach, Florida. This role is not remote or hybrid.

A highly sophisticated private investment organization is seeking an experienced Head of Executive Travel & Transportation to oversee and execute all transportation and travel logistics for a high-profile principal.

This is a senior, highly hands-on role responsible for ensuring seamless movement across a complex, frequently changing domestic and international schedule. The successful candidate will serve as the central point of coordination for all transportation logistics—including private and commercial aviation, ground transportation, rental vehicles, and car services—and will personally manage execution from planning through completion.

This position requires exceptional judgment, discretion, attention to detail, and the ability to anticipate needs and solve problems in real time. The ideal candidate has supported an ultra-high-net-worth individual, senior executive, government official, professional sports executive/owner, family office, or similarly high-profile principal in an exceptionally demanding environment.

Key Responsibilities

• Own all domestic and international travel and transportation logistics for the principal, including private aviation, commercial flights, car services, rental vehicles, and other ground transportation.
• Coordinate directly with private aviation providers, pilots, airlines, drivers, transportation companies, and other travel partners.
• Manage complex, multi-city itineraries and ensure every component of the principal's movement is coordinated and executed flawlessly.
• Anticipate logistical requirements and proactively identify and resolve potential issues before they affect the principal's schedule.
• Respond immediately to last-minute schedule changes, cancellations, delays, weather disruptions, aircraft issues, and other unexpected events.
• Develop contingency plans and transportation alternatives to ensure continuity regardless of changing circumstances.
• Manage and maintain relationships with aviation and transportation vendors, ensuring exceptional service, responsiveness, reliability, and discretion.
• Maintain real-time awareness of the principal's travel schedule and ensure all transportation arrangements remain synchronized as plans evolve.
• Operate with the highest level of confidentiality and professionalism when handling sensitive travel, location, and personal information.

Qualifications

• Significant experience managing complex executive travel and transportation logistics in a high-intensity, high-accountability environment.
• Prior experience supporting an ultra-high-net-worth individual, high-profile principal, senior executive, government official, professional sports executive/owner, family office, or comparable environment strongly preferred.
• Extensive experience coordinating private aviation and complex commercial air travel , as well as executive ground transportation.
• Exceptional organizational skills and meticulous attention to detail.
• Highly anticipatory mindset with the ability to think several steps ahead and develop contingency plans.
• Demonstrated ability to make sound decisions quickly and calmly in high-pressure, rapidly changing situations.
• Strong relationship and communication skills when working with pilots, aviation providers, drivers, vendors, executive staff, and other stakeholders.
• Exceptional discretion, judgment, professionalism, and commitment to confidentiality.
• Ability and willingness to remain highly responsive outside traditional business hours and operate in a 24/7 environment when required .
• Must be able to work onsite full-time in Miami Beach, Florida. This is not a remote or hybrid position.
• Bachelor's degree required.
